This position requires outstanding decision making and problem-solving skills with minimal direction. Individual must be able to work under pressure to meet project deadlines and schedules. The ideal candidate demonstrates a high level of confidence and judgment in a highly visible administrative position.The ideal candidate will work independently, be a self-starter, and be able to work in a highly collaborative, virtual and versatile environment handling an array of duties and responsibilities with particular focus on time management and multi-tasking abilities.The candidate will be confident and capable in the execution of critical office decisions, effective and flawless with calendar management (resolving any conflicts efficiently), management and disposition of executive e-mail, professional support of virtual meetings, scheduling of all aspects of travel (domestic and international), accurate and timely processing of expense reports, event and meeting preparations to include booking conference rooms, coordinating catering, prioritizing tasks, and preparing documents and presentations.This is an onsite role based at our Cedar Rapids, Iowa location.What You Will Do:

Calendar Management: Partner with the two executives to efficiently manage their calendars. Includes scheduling meetings with precision and producing a concise and well-organized calendar.

Travel Planning and Arrangements: Plan and book travel, includes researching options with travel partner, sourcing restaurants as needed, booking transport and making other arrangements.

Meeting Coordination & Management: Handle room bookings, technology logistics and food orders for team meetings. Assemble and manage meeting presentations through Zoom (as needed).

Trusted Liaison: Communicate with a broad range of RTX professionals, external partners, and prospective employees on behalf of the department. Handle confidential information and interactions with sensitivity.

Expense Management: Process expense reports on behalf of executives and provide ad hoc support as needed.

Activity Reporting: Create and manage weekly/monthly/quarterly department reports that document activities. Collect inputs and synthesize for VPs to efficiently flow down information.

Project Management, Team Communications and Event Management:

Document Maintenance: Maintain HR communications distributions lists, and CHRO message archives on key topics.

Event, Project Management Support: Manage logistics for key engagement events such as Town Halls, skip level meetings, regular staff meetings, or other key internal events for VP’s direct reports (i.e., offsite leadership meetings). Participate in special projects, embrace and execute any and all other duties as required or assigned.

Backup Support: Provide backup coverage for other VPs as necessary.

Education & Experience you must have:

Typically requires an AA/AS degree (or other 2-year post high school training) with a minimum of 8 years relevant experience

Qualifications You Must Have:

Must have experience working for a large, complex organization, including experience supporting the executive or C-suite level.

Must be proficient with the Microsoft office suite (PowerPoint, Excel, Outlook).

Must have experience with heavy calendar management.

Must have experience scheduling domestic and international travel to include booking flights, making reservations, etc.

Requires experience supporting large volume of incoming e-mails.

Ability to work in a dynamic, fast paced environment independently and with a team across multiple locations and departments.

Past history of working gracefully under pressure with little to no supervision

Familiarity with digital collaboration tools and video/virtual conferencing platforms

Self-motivated team player with desire and drive to learn and grow.

Outstanding interpersonal and customer service skills (both verbal and written) with the talent to interface, collaborate effectively and courteously with personnel and external contacts from various cultures and at all levels.

Excellent prioritization and organizational skills

Able to have excellent troubleshooting skills and solve/come up with quick solutions to unforeseen circumstances.

Forward thinker with proactive mindset and attention to detail

Follows directions thoroughly and maintains confidentiality of any company sensitive information

Ability to successfully manage workload while addressing numerous interruptions and unforeseen events
