Parts Inventory and Purchasing Coordinator

Primary Role:To provide the Damuth 5-Star Experience to internal and external customers. Our commitment is to understand, respect, value, impress and champion during all interactions with our clients. We will meet customer needs and commitments through processing internal and external stock purchase orders and by seeking remedies to ensure customer satisfaction and retention. This role is also responsible for cycle counts of inventory, year end physical inventory and working with Finance and Accounting.Essential Duties and Responsibilities include the following:Other duties may be assigned.Conduct cycle count weekly as directed by parts team leader.
Generate and transmit purchase orders to Trane and other vendors for stock replenishment.
Responsible for inventory control which includes the Virginia Beach, Newport News, and Chesapeake locations.
Target of 4 turns for parts inventory.
Identify waste or opportunities in purchasing practices and procedures.
Set up in Dynamics best inventory practice, min and max, EOQ.
Reconcile and invoice Trane warranty claims.
Filing of M/S’s, freight bills of lading, equipment packing slips for inventory reconciliation.
Enter receipts for verified stock in Dynamics.
Use of DFR to its fullest potential, including maintaining order points and adding/removing items as necessary on a regular basis.
Investigate and report any inventory discrepancies to the Team Leader.
Possess knowledge of the Trane parts and equipment.
Determine best method to resolve problems to ensure customer satisfaction and adherence to company policies.
Provide proactive inventory skills in terms of add-on sales to customers.
Knowledge to source new & innovative parts & supplies.
Manage vendor relationships
Monitor vendors for pricing, compare vendor products, and evaluate vendor delivery performance
Flexibility to work overtime/weekends, as required.
Process internal purchasing and warranty requests for the BAS department.

Return all customer inquiries within 24 hours. Answer customer calls and e-mail quickly, thoroughly and, pleasantly. Communicate with customers in a friendly, professional, and patient manner.
Perform all duties with the goal of building and maintaining long-term customer relationships.
Immediately address any customer’s concern. Request the involvement of other Company personnel as required. Notify Team Leader of any major concerns and the action taken to resolve it.

Safety

Proper PPE equipment must be used at all times within industrial facilities and in construction zones.
Notify Team Leader or Safety Director of any unsafe conditions.

Qualifications:To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Required - 3 years parts sourcing experience
Preferred - Associates degree in Accounting, Business or similar
Preferred - Warehouse and delivery experience
Preferred - Hazardous Materials shipping experience
Preferred - Accounting experience
Special Skills
Working knowledge of Windows and Microsoft Word and Excel
Experience with order entry and inventory management software a plus
Ability to work individually and in a fast paced team environment
Excellent communication skills
Detail oriented
Physical Requirements
Mobility within the office
Ability to regularly lift and move 25 pounds, occasionally lift and move 50 pounds.
Ability to communicate with others both written and orally
Position may require long periods of driving and forklift operation
Other RequirementsAbility to pass drug screening
Ability to pass formal background check
Able to prove U.S. Employment eligibility
Valid Virginia driver’s license and good driving record
Willing to travel locally as required
