OFFICE ASSISTANT PART TIME

SUMMARY
The Office Assistant enhances the Grants Pass office professional staff’s effectiveness by providing direct support to company-wide departments.
CEO Support -
Provide 360 support to CEO including calendar, transport to jobsites, etc.
General Office –
Answer and distribute phone calls
Greet and coordinate office visitors
Drop off mail at the post office – couple of times a week
File/archive/shred documents for various departments
Assist w/ACE and external events – as needed
Technology –
Maintain asset inventory in Bamboo
Administer email system – user setup, group list administration
Oversee phone system operations
Set up and train new employees
Ensure phone calls properly answered/routed, including after hours
Maintain Get Joan conference room devices– charging, updates
Monitor E-Fax activity and send/distribute as needed
Office Upkeep-
Maintain adequate office supply inventory
General office upkeep – kitchen clean, bathrooms stocked, tend to plants
Employee birthday/anniversary cards and gifts – monthly
Perform additional tasks as assigned
EXPERIENCE/SKILLS/ABILITIES REQUIRED
Demonstrate Ausland Core Values and Attributes, constantly pushing the Ausland Vision at all levels of work.
Team player with a good attitude, willing to step up in a help the team succeed.
Experience with MS Office programs including Outlook, Excel, Word – and embraces new job-related technology.
Self-motivated and proactive.
Exceptional written and oral communication skills.
Ability to be flexible with changing priorities, work under pressure and meet deadlines.
PHYSICAL REQUIREMENTS
Ability to lift and move up to 20 lbs. occasionally.
Sitting (or driving) in a normal seated position for extended periods of time
Reaching by extending hand(s) or arm(s) in any direction.
Finger dexterity required to manipulate objects with fingers rather than with whole hand(s) or arm(s), i.e.: using a keyboard.
Communication using the spoken word.
Ability to see and hear within normal parameters.
Must be able to access and navigate each department at the organization’s facilities.
EDUCATION/CREDENTIALS/LICENSES
Valid driver’s license and reasonable driving record
