In this role you will report directly to the Controller while driving Affirma’s payroll functions. The ideal candidate will have outstanding organizational ability with great attention to detail, strong communication skills, and a willingness to learn and collaborate across all Affirma teams.

Qualifications:

3-5 years of experience processing multi-state payroll

High school diploma or equivalent; Bachelor’s degree in business, accounting, or relevant field a plus

CPP preferred

Extensive experience with, and knowledge of, ADP Workforce Now

Working knowledge of payroll best practices

Strong knowledge of federal and state regulations

Knowledge and understanding of company benefits’ such as 401(k)s, insurance, paid leave, and other voluntary deductions

Proficient in Microsoft Office (specifically Excel and Outlook)

QuickBooks experience/knowledge preferred

Attention to detail a must

Strong work ethic and team player

High degree of professionalism

Ability to deal sensitively with confidential material

Strong interpersonal (verbal and written) communication skills

Decision-making, problem-solving, and analytical skills

Organizational, time-management, and prioritizing skills

Responsibilities:

General/Compensation

Primarily responsible for processing payroll (bi-weekly) for all employees by using time entry, hourly wage rates, and other possible adjustments

Set up each individual new hire with all the necessary forms, including direct deposit requests, wage verification, I-9 information and W-4 reports.

Ensure employee information is accurately entered into ADP and all necessary documentation is maintained appropriately (within and outside of ADP)

Maintain detailed and organized payroll records regarding employee salary and pay (tracking hourly rates, wages, compensation changes, employment changes, insurance coverage, incentive compensation structure, employee relocations, new hire information, etc.)

Prepare payroll payments and ensure payroll funding is in place

Manage workflow to ensure all payroll transactions are processed accurately and timely

Reconcile payroll prior to transmission and validate confirmed reports

Process correct garnishment calculations and compliance

Process accurate and timely reporting, including (but not limited to) W-2, W-2C, 1099s, ACA, 1095, etc.

Process manual check and relocation metrics

Update and reconcile monthly bank statements from ADP

Address payroll-related issues and questions from employees (including assistance with navigating within ADP)

Tax and Benefits

Oversee, review, and track federal and state/local payroll tax filings, which ADP files on our behalf (Forms 941, state employment and unemployment insurance filings, etc.)

Manage tax and withholding records and deductions for all federal, state, local or other taxes that affect payroll amounts

Provide support during benefits open enrollment; work with HR to ensure all employee benefits are accurately reflected in ADP

Ensure all benefits and insurance premiums are properly deducted (and income properly grossed-up, where applicable) from paychecks

Work closely with Accounting and HR to manage and audit bills for health insurance, other insurance, and 401k to ensure insurance premiums/deductions align with employee enrollment

Process taxes and payment of employee benefits

Understand proper taxation of employer paid benefits

Manage and track employee PTO balances in ADP

Accounting/Reporting

Prepare reports for management, accounting/finance department, etc.

Participate in month-end closing (ensuring payroll accounts are accurate and balanced, COGS calculations support, etc.)

Work closely with Accounting, HR, and Operations as needed

Other duties as assigned
