POSITION DESCRIPTION

Position Title: CustomerService Specialist

Reports To:Customer Service Supervisor

Department Name:Administration

Location: Albuquerque

Shift:M-F position, approximately 8 am - 5 pm, Hourly Rate:$14-$15 per hour.

POSITION SUMMARY

Provide a high level of customer service and maximize productivity by delivering prompt, courteous, professional and knowledgeable information to internal and external customers. Coordinate receptionist and administrative functions, including verifying and maintaining documentation of incoming and outgoing shipments, and preparing items for shipment in support of on time delivery. Identify opportunities to enhance and develop new and existing procedures that will improve the department’s efficiency and performance.

KEY RESPONSIBILITIES/ESSENTIAL FUNCTIONS INCLUDE (In order of importance)

Act as primary customer contact ensuring frequent and professional contact with customer. Provide accurate and ongoing status reports as required to each customer (at least weekly).

Accept and process customer orders for new and current business.

Provide accurate and timely follow through to external and internal customers in a professional, courteous and timely manner. Investigate customer complaints and issue corrective actions as required.

Routinely anticipate and resolve complex, non-routine problems in accordance with company policies while ensuring stellar customer satisfaction.

Efficiently and accurately enter and maintain all customer account data and activity in appropriate systems.

Maintain on time delivery performance and successfully troubleshoot any obstacles that may prohibit on time delivery.

Use, modify, or develop PC-based databases or spreadsheets as required to perform tasks assigned.

Prepare, label and ship all US/UPS/Fed Ex packages, per company and industry standards. Provide communication with shipping companies regarding all shipping needs.

Provide backup to Shipping and Receiving Clerk/Receptionist as needed to ensure all duties are adequately performed.

File completed analysis job materials in archives as required by customers.

Enter purchase requests in OMS and track delivery when needed.

Assist with bookkeeping functions as required, including supplier delivery performance data.

Assist in obtaining quotes for facility maintenance and services and scheduling these services.

Maintain production workload in the assigned area and help develop practices and procedures to ensure that quality output is maximized.

Actively participate in establishing training materials and standard operation procedures while supporting the cross training of individuals within the department.

Analyze problems for improvements in quality and efficiencies for analyses creation and shipping.

Flexibility to perform other duties as assigned.

JOB REQUIREMENTS INCLUDE (List as required or preferred)Education: High school diploma or equivalent required.Experience:

Very strong clerical skills

Minimum of two years’ experience in a customer service role.

Minimum of two years’ experience using Microsoft Office Suite.

Knowledge/Skills:

Effectively communicate with internal and external customers, both verbally and in writing.

Self-motivated with excellent customer service, teambuilding, and interpersonal skills with the ability to defuse any situation.

Ability to adapt to changes in the work environment, delays or unexpected events; manage competing demands; change approach or method to best fit the situation.

Ability to remain flexible, dependent on the needs of the customer, in order to meet deadlines as well as customer expectations.

Citizenship:

Must be a United States Citizen in order to work on sensitive military and aerospace programs.

Will be required to pass a drug test and background investigation. No felony convictions.
