Position Description

Office Assistant

Title: Office Assistant

Reports to: Executive Director

Employment Status: Exempt, regular, part-time (.38) FTE

Compensation: $15/hr to be paid in bi-weekly installments (every other Friday), and subject to deductions for taxes and withholdings as required by law

Benefits: 8 Paid Holidays, Paid Time Off (PTO) at a prorated accrual rate of 1.74 hours per pay period in accordance with our policy

Schedule: 15 hours per week, to be split over three days (flexible). Some evenings and weekends required during festival season.


The Office Assistant supports year-round and seasonal staff to present the annual Ashland Independent Film Festival, and year-round events. Primary duties encompass general office support, development support, and additional tasks in the areas of sponsorship, customer service, event logistics, volunteers and ticketing.

Provide general office support, including utilizing member database (Salesforce)

Provide support to development staff in areas of sponsorship, individual giving campaigns, donor data management and organization

Coordinate care of office, maintain key inventory and manage all non-IT office equipment

Maintain office organization, supplies inventory, cleanliness, etc.

Respond to phone messages, mail, info@ email, visitors

Manage and maintain storage unit

Respond to community group and non-profit donation requests

Update constituent information in database as needed

Maintain SOU AIFF Archives with SOU Library

Create and distribute weekly staff meeting agenda

Attend and take minutes at staff and committee meetings

Provide (non-festival) events support including guests lists, RSVP’s and on-site assistance

Manage and maintain staff and board badges

Assist in providing online and phone customer service to ticket buyers

Coordinate and oversee Film Center volunteers

Other duties as assigned


BA, related degree or equivalent work experience

1-3 years administrative assistant, office support, technological, customer service and/or database experience

Excellent customer service skills; ability to work with varied constituents in a professional manner

Excellent written and oral communication skills

Excellent organizational, time-management, and problem-solving skills, as well as attention to detail.

Must be computer literate and proficient with Microsoft Office and Google Apps.

Experience with, or ability to quickly learn, Salesforce database system
