Front Desk Coordinator

Position Title: Front Desk Coordinator

Position Status: Non-exempt Supervises: None

Position Requirements:

 High School Diploma or equivalency.

 Training or additional education in medical office preferred.

 One-year customer service experience, medical office/front desk experience preferred.

 Demonstrated ability to communicate effectively, both orally and in writing, and to relate in a positive, courteous, and caring manner to staff and clients.

 Knowledge of basic office procedures and equipment, confidentiality, filing, telephone etiquette, and ability to use computer programs to include Word, Excel, and other Microsoft products.

 Ability to work independently, remain self-motivated, promotes a spirit of cooperation and cohesiveness among co-workers.

Position Summary:

Under the general supervision of the Front Desk Supervisor or Designee, the Front Desk Coordinator performs all functions related to the operation of the front desk.

Essential Functions

 Greets patients and all others upon arrival at the front desk.

 Answers or directs patient questions.

 Reviews financial expectations with patient, and billing questions and summons pre-registration personnel when necessary for assistance.

 Reviews and updates patient demographic information, assist billing by confirming patient information as accurate at time of check in.

 The front desk coordinator assists the billing process by making sure necessary paperwork is on file for the scheduled appointment

 Alerts Medical Assistant/Therapist / Technician upon the patient’s arrival.

 Assures everybody in the lobby has been assisted.

 Keeps track of daily schedule for any changes such as cancellations, no show and rescheduled appointments.

 Distributes over the counter medical records and/or X-ray / MRI films as appropriate.

 Assists patients with medical record requests by providing Medical Records Release forms and insuring its proper completion.

 Assists with patient complaints as able.

 Schedules follow up appointments as requested by physician / providers/ therapists.

 Open, balances & maintains cash drawer throughout the day and at the end of the day, utilizing necessary forms, balance the cash drawer.

 Collects fee for rendered services.

 Reviews and processes incoming voice mail messages

 Prepares for next day services by printing encounter forms.

 Print labels for charts.

 Assist with completing and turning in daily Encounter forms.

 Assists patients with prescription requests, insures patient has proper identification for pick up of prescriptions, as well as maintaining the outgoing prescription log book.

 Monitor and clean up the reception area, as time permits.

 If needed, assists Appointment Scheduler with physician/provider appointment confirmation calls.

 Remains familiar with and adheres to published company policies.

Nonessential Functions:

 Performs other position-related duties as assigned.

 Front desk coordinator in Physical Therapy and Imaging, may have other duties as assigned, related to their specific area.

Working Conditions:

 Work is performed primarily inside an office setting with heated, ventilated, and well-lighted environment.

 Job is considered low-risk for hazard exposure.
