We may have something to talk about.As a member of CCA’s Care Partnership and Clinical Services team, the Program Coordinator has a wide range of responsibilities, research, supporting new business development and strategic initiatives; developing materials for clinical and operational activities; scheduling and organizing meetings and special events; performing data entry and analysis for cross functional projects; and providing administrative and project management support to the team’s leaders. The ideal candidate is highly organized, with excellent proactive follow-through and attention to detail; is a strong and persuasive writer; is comfortable using Excel and PowerPoint; and has strong all-around communication skills. Reports to Director of Care Partnership Programs.Operations coordination and project management

Contribute to clinical operations projects (e.g., clinical care model and team structure, assessment timeliness, supply inventory levels, compliance with regulatory requirements) by developing tracking grids, performing data entry and analysis, and preparing reports with actionable data to support decision-making.

Coordinate Care Partnership and Clinical Services projects by engaging and managing contributors, facilitating workplan development and implementation, proactively reporting on progress to stakeholders following up on planned steps to ensure key targets are met, and maintaining clear and well-organized project files and collaboration platform spaces.

Support performance improvement activity planning and implementation by organizing meetings, documenting plans, tracking progress, and reporting results.

New business and external policy: Coordinate contributors, subject matter experts, and subcontractors for policy and new business projects. Draft and revise clinical services content for policy/new business projects such as proposals, white papers, and presentations to government agencies. Manage and coordinate materials and responses to external requests such as audits

Organize meetings and events: Schedule and facilitate meetings; organize logistics such as refreshments, venue, audiovisual support; develop agendas; take and disseminate clear meeting notes. Ensure consistently smooth and productive meetings through proactive and thorough preparation. Follow up to ensure action points agreed upon in meetings are clear and will move forward. Provide executive support such as scheduling as needed

Develop materials: Develop content and materials such as guidelines, workflows, PowerPoint presentations, talking points, project tracking documents, emails and newsletters to support clinical and operational changes.

Additional duties as requested by supervisor.Office-based role with some travel.

Reliable access to a car preferred; may travel to various sites across Massachusetts on a regular basis.Bachelor’s degree or equivalent experience.

1-2 years’ related experience preferred.

Experience with Excel data entry, analysis and data visualization/graphics.

Experience developing communication materials such as PowerPoint presentations and newsletters.

Experience organizing meetings and events.

Prior experience with healthcare, particularly complex care and populations with Medicaid or Medicare, preferred.

Must be highly organized and self-directed with a proven ability to work with supervision on departmental and cross-functional projects of a diverse nature.

Proficiency in Excel and PowerPoint required; high level of comfort with intermediate Excel functions such as pivot tables, lookup functions, and data visualization / graphics preferred.

Strong writing skills: ability to concisely and clearly describe programs, problems and planned approaches.

Excellent interpersonal and communication skills. Demonstrated ability to work collaboratively and create an atmosphere of trust and respect within project teams and with external partners, promoting consistently positive and productive relationships. Must be able to exercise a high level of diplomacy and discretion.

Standard office equipment. Must be familiar with laptop computer and desktop phone. Must also be familiar with Windows processing systems and have advanced knowledge of Microsoft Office, specifically Word, Excel, PowerPoint and Outlook.This position requires the ability to sit at a desk, while talking on the phone and using the computer, for eight hours each day. Also requires light lifting and bending, while filing members records and similar.
