ESSENTIAL JOB FUNCTIONS:

Payroll/HR Reporting

Processes timely and accurate payroll in accordance with company policies, and posts weekly to the General Ledger. This includes reviewing time cards and reviewing and receiving approval for exceptions from the HR Manager.

Assists with maintenance of employee files and documentation in compliance with federal and state requirements.

Aids employees with forms completion for updates/changes in federal and state income tax withholding and deductions for 401(k) program.

Responsible for timely and accurate processing of 401k payments to plan provider.

Prepares all internal and external HR and payroll reporting (e.g. HR metrics, Maine DOL reporting, etc.)

Files quarterly reports with Bureau of Labor Statistics (on-line)

Accounts Receivable

Processes account receivable transactions, applying payments to customer accounts.

Sends past-due notices to customers.

Processes monthly Statements of Account as needed.

Reviews orders against customer accounts for credit standing and makes recommendations to the Accounting Manager on orders to place on or release from hold status.

Maintains positive relationships with customers to resolve credit issues and obtain payment of past due invoices. Escalates non-routine, or complex collection/credit matters to Accounting Manager for handling.

Prepares reports related to credit to provide data as requested by the Accounting Manager.

Submits monthly export insurance reporting.

Responds to credit reference requests.

Reviews applications for Credit utilizing “Credit Safe” reports and other miscellaneous information.

Manage collections process, including selection of collection vendors to assist with securing overdue payments

General Accounting/Bookkeeping

Processes on-line credit card charges.

Prepares general ledger entries and assists with reconciliations.

Copies, collates, files and transmits documents and carries out a variety of other clerical functions.

Prepares daily Asset Based Lending (ABL) report.

Prepares monthly collateral/ABL report and other reports for AMI’s bank.

Submits annual report to State of Maine Unclaimed Property.

Submits quarterly information from the 941 report through portal to the Bureau of labor statistics.

Maintains petty cash for MF facility including Postage Machine cash

Additional Responsibilities:

Performs other related duties as assigned.

Attends and participates in various meetings within the company.

Follows all company safety policies and procedures; reports all accidents, hazards and equipment problems.

Is familiar with and upholds all AMI Values and encourages co-workers to do the same.

Shares answering of income telephone calls.

SKILLS/EXPERIENCE/TRAINING REQUIRED:

Associates degree in Accounting preferred or equivalent experience

Minimum of five years of full-charge bookkeeping experience

Knowledge of accounting and payroll software systems

Strong knowledge of Microsoft Excel

Proficiency with word-processing and email programs.

Effective time management and organizational skills.

Proficient oral and written communication skills.

Excellent phone etiquette and customer service skills.

Professional demeanor.

Ability to remain friendly, patient and calm with callers and guests.

WORKING CONDITIONS/PHYSICAL DEMANDS:

Limited physical effort.

Regularly operates computer and telephone, requiring hand-eye coordination and finger dexterity.

Extensive keyboarding and data entry

Routinely communicates face-to-face, on telephone, and in writing requiring strong communication and interpersonal skills.
