Under immediate supervision, the Real Estate Coordinator provides administrative support to the Real Estate Team.

RESPONSIBILITIES:
  • Uploads all company documents into records management system; maintains accurate records/ files.
  • Creates and organizes physical and electronic folders and archives records
  • Validates property data is complete and accurate in Real Estate Management system and other databases.
  • Generates and validates basic Real Estate reports; circulates them to stakeholders.
  • Processes basic Real Estate payments such as legal invoices and reoccurring construction project invoices.
  • Circulates government notices including, but not limited to, zoning changes, public hearings and violation warnings to stakeholders.
  • Answers and screens incoming calls; redirects inquiries to appropriate team member or takes detailed messages.
  • Processes incoming mail, email and faxes; distributes/ routes communications to appropriate team member(s) for response.
  • Schedules and coordinates meetings, calendars, conference rooms, events and other similar activities.
  • Attends department meetings and provides meeting minutes to team members.
  • Prepares and sends correspondence, communications, faxes and emails.
  • Tracks inventory and orders department supplies.
  • Assists team members with ad hoc projects related to Real Estate administration.
  • Researches and implements best practices for Real Estate administrative processes.
  • Stays current on the latest industry technologies, trends, and communication strategies.
  • Completes work in a timely and accurate manner while providing exceptional customer service.
  • Other duties as assigned.

QUALIFICATIONS:
  • This position requires a minimum of one year of administrative or related experience.
  • Commercial Real Estate experience is a plus.
  • Must demonstrate strong attention to detail. Must possess strong organization skills, including the ability to multi-task and manage multiple projects to meet various deadlines in a fast-paced environment.
  • Ability to identify problems, review information to develop and evaluate options is essential.
  • Working knowledge of Microsoft Office, including skills with Word, Excel, PowerPoint and Lotus Notes are necessary.
  • This position requires excellent communication, interpersonal and customer service skills.
  • Ability to build professional relationships with cross functional teams.
  • The ability to work efficiently and accurately under pressure, meet deadlines, present a professional demeanor and work well independently is essential.
  • Customer service skills including the ability to manage and respond to different customer situations while maintaining a positive and friendly attitude is essential.
  • In addition, troubleshooting organizational and problem solving skills with a can-do attitude and the ability to adjust to changing requirements are essential.
  • Maintaining confidentiality, treating others with respect and upholding Company values is key.

EDUCATIONAL REQUIREMENTS:This position requires a high school diploma or GED.

Work Days:Normal work days are Monday through Friday. Occasional Saturdays and Sundays may be necessary.

Work Hours:Normal work hours are 8:00 a.m. to 5:00 p.m. Occasional overtime (more than forty hours per week) may be necessary.
