Executive Director- Child Abuse Prevention and Education Council of Charlevoix and Emmet County

Definition: The Executive Director is a part time position responsible for the successful leadership and management of the organization according to the strategic direction set by the Board of Directors.

Salary: $20,000 per year

Expected hours: 20 hours per week

Characteristics: The Executive Director should demonstrate competence in some or all of the following:

Lead: Positively influence others to achieve results that are in the best interest of the organization.

Organize: Develop a work schedule consistent with Board expectations, monitor progress towards goals, and track details, data, information and activities.

Think Strategically: Assesses options and actions based on trends and conditions in the environment, and the vision and values of the organization.

Supervision: The position reports directly to the Board of Directors.

Duties/Responsibilities: The Executive Director is responsible for overseeing the plan of work provided and approved by the Board. Other key duties include fundraising, marketing, and community outreach. The Executive Director performs some or all of the following:

General responsibilities:

Work with the Board and assure that the organization has a long-range strategy which achieves its mission and makes consistent and timely progress.

Provide leadership in accomplishing the organization’s mission and purpose. Work closely with the Board of Directors and carry out the plans and policies authorized by the board.

Promote active broad participation and volunteer participation in all areas of the organization's work.

Maintain official and permanent records and documents and ensure compliance with federal, state, and local regulations.

Maintain a working knowledge of significant developments and trends in the field.

In communications, the Executive Director will:

See that the board is kept fully informed on the activities and standing of the organization and all important factors influencing it.

Publicize the activities of the organization, its programs, and its goals.

Establish sound working relationships and cooperative arrangements with community groups and organizations in conjunction with Council objectives and mission.

Represent the programs and point of view of the organization to agencies, organizations, and the general public.

In budget and finance, the Executive Director will:

Work with the board treasurer and the board in preparing a budget; work with the Board and treasurer to see that the organization operates within budget guidelines.

Assist with monthly, quarterly and annual financial reporting processes as directed by the Board and the Board’s treasurer.

Jointly, with the co-chairs and secretary of the board of directors, conduct official correspondence of the organization, and together, with designated officers, provide assistance pertaining to all reporting and grant requirements.

Specific functions: The Executive Director is responsible for carrying out the following in regards to specific areas:

Board of Directors

1. Maintain a monthly daily time log detailing hours work and specific area of work plan.

2. Schedule and arrange monthly board meetings.

3. Provide a director’s report at each Board meeting.

4. Distribute agenda and minutes of each meeting.

5. Assist the Board with and support all By-Laws of the Council.

6. Create and distribute an annual communication as directed by the Board.

7. Coordinate article submissions and news media for local newspaper and website.

8. Collect mail from P.O. Box weekly.

9. Organize, summarize and deposit funds in Council Bank account and provided documentation support to Council Treasurer on a Monthly basis.

10. Organize, summarize and request authorization for all Council Expenditures and provide documentation support to Council Treasurer on a Monthly basis.

11. Organize Council’s literature and educational materials.

12. Research opportunities to write and apply for grants.

13. Attend monthly HSCB meetings and Resilient and Trauma-Informed Community Task Force meetings as a voice for children in the community.

14. Attend Great Start Collaborative meetings.

15. Maintain donor database.

16. Assist and accomplish Board approved fundraising activities.

17. Maintain the webpage and Facebook page.

Children’s Trust Fund

1. Submit required quarterly and annual reports via E-GrAMS

2. Comply with all CTF requirements for current tier status.

3. Attend monthly LC conference calls with CTF.

4. Attend annual CTF state conference in the fall.

5. Attend annual CTF LC regional meeting each summer.

Current Council Programs and Activities

1. Host community informational booths to raise CAN awareness and promote the Protective Factors. (e.g. Children’s Health Fair, Char-Em PD day, etc.)

2. Recognize community members who go above and beyond in the service of children and families annually.

3. Host annual educational conference during CAP month each April.

4. Coordinate Mandated Reporter training between DHHS and community organizations and schools.

5. Promote Parenting Awareness Michigan month with activities each March.

6. Promote Infant Safe Sleep Education.

Qualifications: Experience in a non-profit, education or social service field. Proficiency in the use of computers for word processing, financial management, E-mail, and Internet. Director should have satisfactory work history and driving record.
