We are looking for an Event Coordinator to join our team!

The Event Coordinator will provide the administrative support needed for the coordination and execution of Truth At Work’s events and member round table meetings.

Essential Duties:

Collaborate within team to understand positive event and meeting outcomes

Oversee each event phase to make sure deadlines are met and outcomes achieved

Handle the day-to-day administration of each event, including vendor research, reservations, tracking registrations and sponsorship information, placing orders, fulfilling production needs, scheduling guests, and maintaining vendor relationships.

Anticipate scenarios that could negatively impact event and proactively plan for minimal disturbance

Negotiate contracts with vendors and present concerns to team

Offer solutions to problems that arise and handle them in a timely manner

Assist in developing content for event and meeting materials, including proof-reading

Manage volunteers in an organized way to promote efficiency and productivity

Always keep event timelines and financial restraints under control

Analyze and evaluate event and meeting results, prepare and present reports as necessary

Maintain monthly round table meeting schedule and handle preparations (set-up/clean-up)

Maintain and stock all necessary conference/meeting room supplies for each round table

Coordinate member webinars, schedule guest speaker, maintain logistics

Maintain basic A/V, electronic meeting equipment as necessary, including video conferencing software

Represent Truth At Work on internal or external communications, committees and events

Assist in driving actionable plan for fundraising, schedule and prepare for meetings

Handle confidential information which would have immediate impact on the ministry operations, performance, or value if shared beyond its intended audience

Prioritize and coordinate multiple projects simultaneously and follow through in a timely manner

Education and Experience:

Bachelor’s degree preferred

Minimum 3 years in event planning or coordination preferred

Competencies and Skills:

Must agree with, subscribe to, and exhibit character and lifestyle consistent with the Truth At Work Statement of Faith

Advanced reading, writing, analytical and problem-solving skills are necessary

Must be detail oriented with the ability to multi-task and prioritize responsibilities under pressure

Proficiency with Microsoft Office, Microsoft PowerPoint, Outlook, and telephone protocol

Ability to interact and cooperate with staff (at all levels) with strictest confidentiality, in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism

Able to grasp new concepts and skills easily

Keep job documents and materials properly identified and organized

Able to manage one’s own workload for maximum efficiency while maintaining quality

Use sound judgment to make good decisions based on information available

Proficiency in Adobe Creative Suites is a plus

Physical Requirements and Work Conditions:

Work in an office environment for extended periods of time

Hearing and 20/20 visual acuity with correction and no red/green color blindness necessary

Able to lift 15-20 pounds

Able to make coordinated hand and finger movements to grasp and manipulate objects

Must be able to work with deadlines and interruptions

Position may require bending, stooping, kneeling, crouching, and walking at various intervals

Must be able to work full time hours at Truth At Work corporate office
