Position Description:

Suber & Company is seeking a motivated candidate to join our team to provide administrative support for SCO’s management consulting, virtual offices and property management services. While minimal experience is required, a candidate that can demonstrate a strong ability and desire to grow into this position is strongly desired. This a developmental role in which the selected candidate will be trained on performing the primary responsibilities. Additionally, this is a part-time (up to 20 hours a week) position with the potential to become full-time. Schedule may vary some weeks, but no weekends or evenings are required. Immediate availability desired.

Primary Responsibilities:

The Administrative Assistant provides administrative support for all SCO practice areas (Management Consulting, SCO Virtual Offices and Property Management) under the guidance of the Operations Manager and Owner.

SCO Virtual Offices:

Become familiar with virtual office services and serve as an office contact for small business clients. Schedule and provide office tours to potential clients. Maintain online reservation calendar (YaRooms). Coordinate office visits and services via emails or direct calls from clients. Ensure meeting rooms and private offices are set up appropriately for each reservation. Manage mail services for clients including: mail sorting, mail filing, email notification and distribution of mail. Set up phone line accounts for clients. Greet and host clients while providing on-site support. Support related marketing and communication efforts (I.E. Social Media Plan Execution, Advertising Campaigns, Client Newsletters.) Attend relevant networking events.

Management Consulting Practice Support:

Assist with research for federal and local government contracting and acquisition processes, tracking open opportunities, support proposal development, assist in the preparation of set-aside certifications, and attend relevant networking events as needed.

Property Management Support:

Provide administrative support throughout the leasing cycle for each property. Receive and process rental applications, schedule property tours, prepare leasing agreements, serve as a contact for tenants, prepare documentation for evictions as needed. Establish and maintain property records.

General Operational Support:

Provide administrative support for general bookkeeping, human resources and corporate governance activities.

Other duties as needed.

Skills Required:

Basic computer skills and basic familiarity with Google OR MS Office applications.

Demonstrated customer service skills.

Strong desire to learn and grow as an administrative professional.

Bi-Lingual (English and Spanish) is a plus, but not required.
