The HR Onboarding Specialist has ownership over the onboarding and offboarding of Taos employees, including, but not limited to, candidate welcome and instruction, record-keeping, file maintenance and HRIS entry. This role also provides administrative support related to day-to-day HR department operations, maintaining high standards of confidentiality of all employee records and information. What you'll be doing
- Ownership over the Onboarding process, including but not limited to:
- End to end onboarding tasks, such as auditing offer letters for accuracy, launching onboarding packets, complete onboarding task entries in PCTY, presenting orientation
- Initiate new hire background checks and monitor through completion
- Coordinate with hiring manager on first week schedule
- Coordinate completion of employee I-9 forms, and maintainence of existing I-9 files
- Conduct weekly new hire orientation
- Inform new hires on their first tasks (e.g. which programs to download and how to activate their accounts)
- Be new hire's initial primary point of contact for questions and directing to resources
- Perform data entry into HRIS and other relevant systems
- Monitor HRIS system for data accuracy, make timely correction or updates
- Ownership of Administrative Offboarding
- Ensure SFDC/PCTY off-boarding is processed
- Send initial "Last Day" email to employee
- Initiate Exit Survey and schedule Exit Interview
- Prepare & send all separation paperwork for voluntary terms, assist with the same for Involuntary terms
- Partner with Payroll to ensure final pay is distributed according to state guidelines
- Move E-File to inactive
- Provide weekly, monthly and as requested reporting on hiring/termination metrics - Exec rollup of reasons people are leaving
- Periodically/monthly review Org Chart in PCTY to ensure accuracy of reporting lines and titles
- Maintain employee HR files
- Monitor HR VM Calls and Verification VM Calls, Process employment verification requests
- Log and distribute "Kudos cards," including request validation and monthly Finance reporting
- Administer charitable contributions program, including eligibility validation, tracking of annual limits and payment submission
- Other duties and projects as assigned
- 1-3 years related experience
- Bachelor's degree preferred or equivalent work experience
- Proactive self-starter with strong organization and time management skills
- Solution oriented - Ability to pay attention to minute details of a project or task and proactively investigate solutions
- Strong communication skills, both verbal and written
- Familiarity working with HRIS systems, Salesforce and Office 365 Suite
- Must be able to multi-task in a fast-faced environment
