Summary/Objective

Provide a professional and competent image in order to provide Residents with friendly and outgoing customer service. As a key employee liaison between the board of directors, all guests of the community and the Residents, the office personnel must be experienced in the hospitality industry. They must be familiar with using computer software to perform various tasks, and must demonstrate organizational skills, excellent interpersonal skills and strong communication in multiple languages. They must be knowledgeable in Quick Books, account receivable, accounts payroll, accounts editing, accounts correcting, accounts collections, Certified Notary a plus or willing to become certified, overseeing staff, knowledgeable of city and county processes.

Duties and Essential Functions include the following. Other duties may be assigned to meet business needs.

Communicate with board of directors daily by phone or email when needed.

Utilize proper phone and email etiquette for all incoming and outgoing phone calls/emails made to residents, board, lawyers, vendors etc.

Report any violations of the Rules and Regulations that are noticed at any time to board of directors.

Observe and report damage, theft, and found articles to board of directors for the safety of all residents, employees and guests.

Maintain the “key” control system and assure that all keys are locked and accounted for at all times.

Be familiar with the fire alarm system operations and report all incidents to the board of directors.

Call police or fire departments in cases of emergency, such as fire or presence of unauthorized persons and notify the board of directors.

Write reports of daily activities and irregularities, such as equipment or property damage, theft, presence of unauthorized persons, or unusual occurrences.

Report any and all maintenance items which include, but is not limited to, burned out lights, leaks, broken equipment to the Association office daily.

Follow Policy regarding lost and found items.

Communicate with maintenance manager and staff to advise them of repairs that need to be addressed and hire outside vendors when needed to do professional work for example, plumbers or electrician etc after discussion with board of supervisors.

Work Environment

The working environment will be indoor and will require work on phone, computer, fax machine, printer etc.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

The employee is occasionally required to sit, stand, reach, lift, bend, kneel, stoop, climb, push and pull items weighing 30 pounds or less. The position requires manual dexterity; auditory and visual skills; and the ability to follow written and oral instructions and procedures.

Position Type/Expected Hours of Work

This position maybe up to 30 hours a week. Days and hours of work will be determined at the property. This schedule may change to accommodate the business needs of the property.

Required Education and Experience

Florida CAM License

High school diploma or GED; some college preferred

Minimum six months related experience and/or training.

This position requires standing, walking, bending, kneeling, stooping, and crouching throughout the shift.

Bi-lingual English/Spanish may be required

Ability to detect auditory and/or visual emergency alarms. Noise level in the work environment is usually low to moderate.

Proficient in Microsoft Office, Word and Excel skills.

Position Supervision

Employee reports directly to the condominium board of directors president of the community.
