Schedule : Full time, 40 hours per week | First shift, 8:30am 5:00pm Monday through Friday

PURPOSE OF JOB CLASS (NATURE OF WORK)

In a state agency this class is accountable for independently performing the most complex tasks in providing both office administration and secretarial support for a major program. EXAMPLES OF DUTIES

With thorough, working knowledge of CMHC’s Medical and Professional Staff bylaws, rules, regulations, and hospital policies, as well as Joint Commission, Medicare/Medicaid, and State regulations, oversee the credentialing and privileging function/office for CMHC.

Manage the day to day operations of the Medical and Professional Staff Office for all physicians and other medical providers plus other members of the Medical and Professional Staff, such as psychologists, including the preparation, submission and tracking materials for the Peer Review and Privileging Committee and maintaining files with updated performance evaluations and verification of licensure, DEA registration (if applicable), National Practitioner Data Base (NPDB) status and other pertinent documents.

Develop, implement and maintain critical communication systems to monitor, inform, and update all departments on matters of credentialing and privileging assuring consistent, compliant and accurate application review and response in a timely and efficient manner. This includes the development of effective procedures as well as information system solutions.

Ensure compliance with all relevant accrediting and regulatory agencies [Joint Commission, and State and Federal regulations] regarding credentialing and privileging, while developing and maintaining knowledge of the relevant statutes and laws.

Oversee and manage the Medicare and Medicaid enrollment process for physicians, which includes documentation of provider enrollment and re-enrollment, and deactivating providers as appropriate to facilitate accurate billing procedures and to assure the generation of clinical revenue.

Perform mandatory medical staff reviews prior to recommending and presenting medical staff for credentialing and privileging to the CMHC Credentialing Committee to ensure compliance with the national standards and CMHC protocol. Coordinate, develop the agenda, and take minutes (containing sensitive, highly confidential information) for the Peer Review and Privileging Committee and Executive Committee of the Medical and Professional Staff. Research, report and provide information to assist the Peer Review and Privileging Committee with the development of privilege criteria, privilege delineation and other documents necessary for an effective credentialing and privileging process.

Develop performance improvement mechanisms to evaluate and improve the overall credentialing and privileging process. Develop and implement effective audit credentialing process and tools to assure quality workflow.

Update and maintain the Credentials and Privileging policies and procedures in accordance with national standards and CMHC policy.

Coordinate all efforts for onboarding of new residents, psychiatry fellows and Yale faculty physicians, assuring that key individuals within the organization have made appropriate arrangements for individuals to begin work in an efficient manner. Specific tasks include coordination and implementation of enrollment in the RxNT electronic prescribing platform for all new prescribers, Medicaid enrollment for physicians, and collaborating with other administrative staff to facilitate other onboarding tasks such as keys, parking, and WITS enrollment.

Create and coordinate the yearly on-call schedule for Attending psychiatrists, known as the Clinical Administrative Back-up (CABU) physician.

MINIMUM QUALIFICATIONS - GENERAL EXPERIENCE

Four (4) years of experience above the routine clerk level in office support or secretarial work. MINIMUM QUALIFICATIONS - SPECIAL EXPERIENCE One (1) year of the General Experience must have been as a Secretary 2 or its equivalent.MINIMUM QUALIFICATIONS - SUBSTITUTIONS ALLOWED College training in the secretarial sciences may be substituted for the General Experience on the basis of 15 semester hours equalling one-half (1/2) year of experience to a maximum of two (2) years. PREFERRED QUALIFICATIONS

Experience using analytical skills and independent problem solving.

Experience managing complex projects from inception to completion, development to deployment.

Experience providing clear communication skills, both oral and written, with the ability to communicate effectively with all organizational levels.

Experience with Microsoft Office applications including Excel, database systems and web browsers, demonstrating competencies in current system use to streamline reporting and data management in sync with related existing systems.

Experience working and interacting with personnel from multiple departments and levels while maintaining sensitive and confidential information.

Experience with management information systems, along with organizational and management skills.

Experience working in healthcare/hospital administration.
