Avantgarde, LLC (AG) is looking to hire a Senior Administrative Assistant to perform a range of professional administrative functions and services to support the operational functions of the Office of the Chief Administrative Officer (OCAO) of our United States Capitol Police (USCP) client in SW Washington, DC. The Senior Administrative Assistant will provide coordinative and analytical assistance critical to keeping OCAO operations running smoothly while exercising a high level of caution and discretion when handling sensitive, confidential matters.The WORK

Receives and reviews all correspondence for the OCAO and coordinates associated actions with the Executive Officer.

Performs quality control review and makes edits to incoming/outgoing correspondence to ensure clarity, consistency, completeness, and compliance to organizational policy.

Maintains a tracking system for correspondence and requests to ensure all deadlines are met and follows up to ensure that actions are completed.

Organizes and schedules meetings and sends meeting reminders.

Manages the CAO and DCAO’s calendar, makes appointments, and prioritizes the most sensitive matters.

Serves as liaison with various Divisions under the OCAO.

Coordinates physical space, procurement, program management issues, and special projects for the OCAO.

Reviews budgets, schedules, and data requirements; and prepares reports and status updates.

Assists in performing routine tasks in support of the administration of a small, stable budget involving basic administrative expenses such as disseminating guidelines for participating in the budget formulation and execution process. Collects information or anticipates needs in preparation for the existing or upcoming Fiscal Year budgeting cycles.

Prepares and reconciles all travel vouchers for the OCAO.

Receives and screens calls and visitors to the OCAO and responds to requests for information, addressing and resolving issues that arise.

Exercises extreme tact and diplomacy when interacting with high level officials who either call or personally visit the OCAO and who represent a broad spectrum of national, public, and private organizations.

Serves as timekeeper for the office and maintains time and attendance records and inputs data into the Workbrain system.

The REQUIREMENTS

High school diploma required, post-secondary education or experience in business management or related field preferred, plus 2 years of experience supporting the administrative needs of a front office with Senior Executives; or the equivalent combination of education, experience and training.

Excellent internal and external customer service skills.

Professional demeanor and the ability to communicate and interact/relate to a diverse group of people including Executive Management, Senior and Mid-level managers, employees, and outside resources.

Strong organizational and time management skills, with the ability to multi-task and meet deadlines.

Strong problem-solving and decision-making skills.

Must be highly proactive, self-directed and have attention to detail.

Must be highly proficient with the use of Microsoft Office Suite, SharePoint, and the ability to use widely supported Internet browsers.

Must be willing to work onsite, full-time, in Downtown DC with 1 day per week telework and report for work between 7:00 am and 6:00 pm, with occasional need for additional duty as requested and authorized.

Must be able to obtain pass USCP’s fingerprint check process, which is unique to USCP.

Must operate a PC in an office environment in a primarily sedentary position.
