Under general supervision, performs specialized and confidential secretarial work for several judges and/or other Court appointed officials; maintains judges' calendars and coordinates these within the court's calendar system, and performs related duties as required.

Examples of Duties

Relieves judges and/or administrators of routine administrative duties, which includes independent preparation of less complex correspondence, maintaining calendars, scheduling meetings and conferences, and making travel arrangements; and reviewing documents submitted to the court to ensure completeness, accuracy, and compliance with legal and procedural requirements.

Reviews case files to ensure completeness; follows up to secure essential information and documents.

Prepares, types, proofreads and issues legal documents (e.g., warrants, correspondence, memoranda, reports, forms, opinions, decisions, rulings, and instructions) from instructions, drafts, dictation, or transcripts.

Performs clerical duties such as filing, copying, assembling reports and documents, and processing mail; operates a computer and a variety of other office equipment.

Maintains files and law libraries for judges and/or administrators.

Receives and screens visitors and callers; explains procedures and provides information.

Prepares agendas and minutes for various committees and meetings.

May provide support in the courtroom while court is in session by processing and completing documents and forms.May also act as a lead clerk in the absence of the supervisor.

Performs basic legal research; collects, compiles, verifies, and presents data for statistical studies and reports.

Assists with arranging for ProTempore judges as needed.

Performs related duties as assigned.

Employment Standards

Educational level equivalent to a high school diploma or GED and two years of legal secretarial experience, OR

Successful completion of college level courses or equivalent specialized training in legal terminology & procedures, contemporary office practices and procedures, basic computer principles and applications, correct English grammar, & basic mathematics, OR

Any combination of training, education, and experience that would provide the required knowledge and abilities.

Completion of relevant course work at a college or a business school is desirable.

Judgment and Responsibility: Incumbents must be able to operate under general supervision, performing a variety of legal secretarial tasks in accordance with pre-established policies, procedures, and standards. Day-to-day activities may require independent judgment to prioritize work. Errors in work or judgment could result in inaccurate or incomplete legal documents being processed, inaccurate calendars for judges, or the release of highly confidential information.

Knowledge of: legal office methods and procedures; court rules; format of legal and business forms and documents; legal terminology; computer applications including Microsoft Word and Excel, e-mail systems;basic mathematics;correct English usage, spelling, grammar and punctuation; principles of effective communication and customer service.

Ability to: operate word processing & spreadsheet software; pay attention to detail; understand, explain, and comply with a variety of detailed procedures; compose legal and business correspondence using correct language usage, spelling, grammar and punctuation; research and read legal case citations; maintain records, files, and correspondence; organize and prioritize work tasks independently and effectively; establish and maintain positive, productive working relationships with staff, legal community, and the public.
