Primary Purpose

This position is responsible for providing administrative support to the Coastline services program.

Education And Experience

High school degree or GED. Proficiency in Microsoft Office, specifically MSWord and Excel. Word processing skills, organizational skills; oral and written communication skills. Preferred familiarity with electronic health record system.

Essential Duties and Responsibilities

A. Maintain records (requests, archiving, and purging) related to dissemination of confidential clinical information within the agency and between agencies.

B. Work under the supervision of the Senior Office Manager, completing a variety of tasks designed to ensure the smooth operation of the agency's office and clinical record system.

C. Coordinate the flow of information between multiple sources including the public, staff members, client charts, agency digital files, and office voicemail boxes.

D. Coordinate client engagement by calling clients with appointment reminders or three no shows.

E. Assist with client referrals.

F. Attend trainings and meetings as assigned.

G. Assist in scheduling appointments and maintaining calendars, as needed.

H. Assist in preparation of clinical presentations, meetings, and educational trainings.

I. Provide clerical and other necessary support to staff

J. Greet visitors and check in youth and families for appointments.

K. Answer main line phone calls [answer and route phone calls for staff and check front desk voice mail routinely throughout the day.

L. Copy and scan documents. Send faxes, letters, and other communications and draft correspondence

M. Assist in administrative tasks

N. Help track and prioritize information to be read and processed by due date.

O. Perform other related work as assigned.

P. Proficient in all software needed for above responsibilities, including Microsoft Office, Word, Excel, and electronic heath care system.

Q. Proficient and accurate in word processing and transcription skills, including Excel spreadsheets and any other functionality needed for responsibilities.

R. Efficient in organizational, scheduling, and meeting coordination skills.

S. Exhibit professional oral and written communication skills.

T. Ensure confidentiality and professional discretion with clinical information and about program leadership activities.

U. Demonstrate continuous improvement in clinical administration.

V. Abide by ethical codes, mission, values, and professional standards, including confidentiality. Demonstrate alignment with Kairos values.

W. Actively utilize, reference, and follow agency policies, procedures, and guidelines.

X. Present a positive attitude, professional demeanor and demonstrated respect with youth and young adults, families, staff, visitors, and community partners.

Y. Perform all work tasks in a proper and safe manner per established policies and procedures to prevent unnecessary injury, time loss and agency expense.

Z. Comply with all federal, state and agency health and safety reporting requirements.

AA. Maintain prompt and regular attendance in accordance with company policy.

BB. Ability to be flexible and adjust schedule as necessary to fit program needs and meet the needs of youth and their families.
