Hours: Full-time, Monday to Friday, 8:00 AM - 5:00 PM

Position Overview:

Allstate Express Trucking is seeking a detail-oriented and organized individual to join our team as a Parts and Accounting Specialist. This role will be responsible for managing inventory, parts ordering, invoicing, and other accounting tasks using Full Bay software.

The shop is currently being set up, and therefore the start date for this position will be May/June 2024.

Responsibilities:

-Manage inventory levels of parts and supplies necessary for maintenance and repair operations in the mechanic shop.

-Coordinate with mechanics and technicians to identify parts and materials needed for repairs.

-Place orders with suppliers to replenish inventory and ensure timely delivery of parts.

-Receive and inspect incoming shipments of parts and supplies, verifying accuracy and quality.

-Organize and maintain parts storage areas to ensure efficient access and inventory management.

-Update inventory records in Full Bay software to accurately reflect stock levels and transactions.

-Generate purchase orders and track expenses related to parts procurement.

-Prepare and process invoices for parts and services provided by the mechanic shop.

-Reconcile invoices and payments, resolving any discrepancies with suppliers or customers.

-Assist in tracking and analyzing costs related to parts usage and inventory management.

-Provide administrative support to the mechanic shop, including data entry, filing, and document management.

-Collaborate with other team members to optimize workflow and streamline processes in the mechanic shop.

Qualifications:

-High school diploma or equivalent; additional education or training in accounting or inventory management is preferred.

-Previous experience working in a mechanic shop or automotive parts department is highly desirable.

-Familiarity with inventory management software, preferably Full Bay, or similar systems.

-Strong attention to detail and accuracy in managing inventory records and financial transactions.

-Excellent organizational skills with the ability to prioritize tasks and manage time effectively.

-Proficient computer skills, including experience with Microsoft Office suite (Excel, Word, Outlook).

-Effective communication skills, both verbal and written, to interact with suppliers, customers, and team members.

-Ability to work independently with minimal supervision and as part of a team in a fast-paced environment.

-Knowledge of accounting principles and procedures, particularly related to invoicing and reconciliation.

-Willingness to adapt to changing priorities and take on additional responsibilities as needed.
