NIRA is a rapidly growing start-up looking for a passionate and hardworking Executive Assistant and Office Administrator to join our team as we revolutionize the skincare market.

This role will be responsible for working with the CEO and assisting with administrative tasks to maximize the CEO’s efficiency. The individual further provides office administration support.

Primary Responsibilities:

Work directly with the CEO to support all aspects of his daily work routine.

Manage CEO calendar, email inbox, and recordkeeping. Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters.

Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf.

Proof reading of proposals, presentations, and business materials for grammar, readability, flow and completeness.

Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary.

Answering phone calls in a polite and professional manner.

Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department.

Arranging and managing executive travel and accommodations.

Organizing team and company events.

Administrative Responsibilities:

Monitor office supply levels and reorder as necessary. Purchase additional office supplies and equipment as needed.

Provide clerical and administrative support to management as requested.

Maintain a neat, tidy, office environment

Manage the contract cleaning company

Ensure coffee, beverage and snack areas are clean, adequately stocked, and within budget.

Act as receptionist for the office and greet visitors, manage guests, etc.

As needed, support shipping tasks for the company.

Support routine Human Resource administrative tasking including: posting new job descriptions, scheduling interviews, and managing all new employee onboarding paperwork.

Requirements:

Excellent verbal and written communication skills.

Excellent organization skills and attention to detail. Ability to multitask.

Excellent time management skills with a proven ability to meet deadlines.

Must type over 45 wpm

Good skills in Microsoft Office (Word, PowerPoint, Excel)

Proven administrative support experience

Strong phone contact handling skills and active listening.

Must be able to work in a fast paced, small, entrepreneurial environment with an emphasis on collective, collaborative teamwork.

Location: Danvers, MA (on-site)
