​ We are currently seeking a Finance Administrative Assistant to join our Finance and Accounting team as a crucial link in the food supply chain. The Finance Administrative Assistant will be a part of the AP & AR Team, which is responsible for managing and maintaining all items related to Accounts Payable and Accounts Receivable; including Vendor/Shipper Invoice payments, Product, Inventory Control procedures, Invoices & Billing. The Finance Administrative Assistant will work with the entire department to ensure that AP & AR administrative tasks are being completed. The Finance Administrative Assistant will also manage other job-related data and paperwork processing to support the Accounting Department. ABOUT THE JOB This is a full-time position and the anticipated pay for this position is $20-22/hour, depending on experience. The schedule will be Monday – Friday and the hours are anticipated to be 8:30 AM to 5:00 PM in the office.

Provides support to the Controller and AP & AR Supervisor with Accounting functions within the department.

Responsible for document management within the Accounting department. Including scanning all tickets, Bills of Lading, and Manifest, logging Conditions, and filing.

Print and sort invoices for payment for AP team. Stuff envelopes and send Check payments via mail.

Entering Operation & Maintenance Invoices into Financial Management System for payment.

Responsible for Customer Account Collection calls to customers with outstanding invoices.

Assist with Month End Close items. For example, Bank Account Reconciliations.

Maintain and update department Excel logs as needed.

Will be a part of the team that provides 1 hour Lunch relief for the Cashier on a rotating schedule.

Provides back up as necessary to members on the AP & AR team for duties to be specified.

Performs other related duties as assigned or as necessary. Remains flexible and adaptable in work schedules and work assignments as defined by departmental and organizational needs.

SKILLS & ABILITIES

Knowledge and use of standard office equipment and procedures necessary

Knowledge and use of computer and Microsoft applications, especially Excel is required.

Strong interpersonal skills and ability to work well on a team

Self-starter with the ability to work with minimal supervision

Excellent communication skills

Strong basic math skills

QUALIFICATIONS

A High School Diploma or equivalent is required

1 year of experience in an office setting is preferred. Previous experience in either administrative or accounting support is helpful.
