Job Description: Administrative Assistant / Sales Support / General Office

Supervisor: President

Wage: Depending on experience

Benefits: Full health insurance, 10 days vacation per year, 5 days sick leave per year, 7 paid holidays per year

Hours: 8:00 am to 5:00 pm M-F Full time, 40 hours per week

Essential Responsibilities Include:

Answer phones and maintain professional phone demeanor

Provide exceptional customer service

Take orders for equipment and equipment repairs, by phone, fax and email

Create customer quotes and orders in a timely and accurate fashion

Keep Quickbooks updated and accurate at all times by creating estimates, creating invoices, and receiving payments

Coordinate with accountant to provide needed information

Manage catalog printing and keep sales staff stocked with catalogs

Support sales and administrative staff

General office duties

Daily printing and filing of hard copies of all documents

Fill out daily checklist and other paperwork as requested

Keep work area neat, clean and organized

Follow all company policies and procedures

Follow all local, state, and federal laws and regulations

Other duties as requested

Skills Required:

Minimum 10 years office experience

Quickbooks experience required

Excellent writing skills and phone skills

Excellent filing skills

Intermediate to advanced Excel skills

Intermediate to advanced Word skills

Advanced skills in composing documents. (Letters, contracts, change orders, labels, mailers)

Excellent general office skills

Valid California driver's license and car for occasional work errands

Windows: Ability to manage desktop files and routine desktop maintenance such as spy ware and anti-virus.

Office equipment skills: basic printer and fax trouble shooting
