Description Contract to hire position - through Robert Half!As an Investment Associate you will perform various administrative duties, as well as serving as a back-up processor when other team members are out. You will support the rest of the Team with any customer service, operational or administrative needs that may arise, taking on ad hoc processing or other duties when required.Area of Focus: Precious MetalsResponsibilitiesThe duties and responsibilities of the role include, but are not limited to the following:Inbox:

Respond to general Email inquiries within 1-3 business days.

Receive, review and sort incoming forms received via Fax or email. Confirming receipt and status of the form(s) via email within 1-2 business days.

Be a client’s initial point of contact to review all forms and obtain any corrections prior to forwarding the completed form(s)/messages to the assigned processor.

Sorting and forwarding messages and forms to the assigned processor(s) after reviewing the message(s) or attached forms.

Saving Depository Reports received via email.

Forwarding forms or messages to the proper Department when necessary.

Notating receipt of inquiries or forms on the Client’s Entrust Portal - Comments Section.

Entering all incoming transactions/forms into the Precious Metals Transactions Log on Microsoft Excel.

Incoming Mail:

Review incoming documents, scan and save copies to DocStar, deliver or forward to the processor via email.

Notating receipt of inquiries or forms on the Client’s Entrust Portal - Comments Section.

Entering all incoming transactions/forms into the Precious Metals Transactions Log on Microsoft Excel.

Respond via email (or phone) to client to confirm receipt and status of the form or document.

Notifying the assigned processor(s) that a form or document has been saved to DocStar and needs review.

Phones:

Take incoming client calls and assist them over the phone with forms, general questions or guidance. Passing all prospective Clients and/or Business-to-Business Partners to their respective Business Development Team.

Listen to Voicemails left on the Department voicemail inbox. Placing notes on the Account Overview and notifying the correct processor to be addressed.

Work with Client Services and Business Development to provide thorough and thoughtful customer service for existing and prospective Clients and Business Partners.

Miscellaneous:

Act as a peer reviewer for processor transactions (particularly for any blotters that can or will be posted by the Precious Metals Manager).

Take on the duties of a processor on an ad hoc basis or when business demand requires.

Entering data for updates to Client Contact information.

Assisting with annual Depository and Entrust Trust Company audits and information requests.

Qualifications

Excellent interpersonal skills.

Strong ability to handle confidential information with discretion and maturity.

Excellent verbal and written communication skills.

Highly developed deductive reasoning skills.

Effectively works independently as well as in a team environment.

Ability to manage multiple simultaneous tasks and switch directions as priorities change.

Actively seeks to engage with and grow in knowledge about the metals industry, as well as the self-directed retirement industry.

Physical Requirements:

Prolonged periods sitting at a desk and working on a computer.

Able to stand and walk for a minimum of 3 hours in an eight-hour workday.

Hand use: continuous keyboarding, frequent simple grasping, and occasional fine manipulation

Occasional bending, reaching, and twisting (waist level)
