A Startup in West LA is looking to hire an EA/Office Manager! Location:on-site in West LADescription:Duties and Responsibilities: Handle a wide range of administrative and executive support related tasks, including communication, reporting, customer interaction and vendor interaction Handle calendar management, CEO time management, banking and expense management Position requires regular interaction with both internal team and external partners Prioritization of key operational and administrative responsibilities to ensure CEO and company deliver on committed timelines to clients Proactively identify solutions to ensure Company's clients expectations are exceeded Ability to interact with high-profile clients and prospective clients, who also expect complete discretion Organize, maintain, and update electronic databases, such as Outlook and CRM software, and paper files Schedule calls and appointments with partners and third-party vendors Research, plan and schedule travel arrangements, including expense management Handle bookkeeping in QuickBooks - invoice tracking, accounts payable and receivables, and coordination with accountant Handle correspondence and information between banking, accounting and vendors General office organization - supplies, filing, etc. Flexibility to periodically assist outside of traditional business hours or weekends Support the founder/CEO in managing professional and personal commitments and daily responsibilities.Skills:Administrative support, Calendar management, Microsoft office, Travel coordination, Written and interpersonal skills, document managementAdditional Skills & Qualifications: Proficient with modern office technology - workstation (PC & Mac) Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and standard CRM software; Microsoft Office 365 for Business, Adobe Acrobat, Photoshop and Illustrator a plus Excellent word processing, email drafting, calendaring, data and file management skills Courteous, polished and professional telephone manner a must Experience filling all relevant documentation and managing the paper flow for a asset management firm Ability to react in a dynamic environment with sporadic last-minute changes and client needs Experience with planning and scheduling domestic and international travel arrangements 5 years of related experience for an executive entrepreneur; Associates Degree or Bachelor's Degree preferred Clean driving record is required.
