Benefits to you

We pay 95% to 99% of medical insurance premiums for full-time employees, including mental health coverage.

The annual salary for this position is $85,296 - $132,324.

10 paid holidays, 2 floating holidays, 3 personal business days, separate sick and vacation paid leaves (prorated for part-time employees), and other employee benefits such as optional insurances and flexible spending plans.

OJD will pay you a 5% allowance for bilingual skills (includes ASL) if you can pass a skills test and are assigned to use those skills on the job!

Position Highlights

The Deschutes County Circuit Court in Bend, Oregon, is hiring a Court Support Supervisor (Supervisor 3).

As a member of the court’s management team, you will analyze the effectiveness of work unit operations, participate in weekly meetings, and bring issues to the team in an honest, constructive, and solution-oriented manner. You will develop and implement new court policies, procedures, and forms, and you will implement changes to existing court procedures in response to statutory changes or customer service needs. You will also foster strong working relationships with judges, court staff, public and private-sector agencies, upper-level managers, external stakeholders, and community partners to help increase our court’s effectiveness.

As a supervisor, you will create and update position descriptions, conduct job interviews and reference checks, develop training materials and documentation, conduct training for new and existing employees, and motivate and coach your staff. You will approve timesheets, conduct performance appraisals, maintain employee records, identify and resolve issues, assign and set priorities for staff work assignments, review completed work for accuracy and timeliness, and counsel and discipline staff as necessary. You will also schedule and attend monthly work unit meetings, keep staff informed about changes to laws, rules, policies, and procedures, and supervise the Juvenile Hearings Officer program to ensure the proper handling of caseloads.

Part of your time will be spent resolving complex issues regarding appellate transcripts, retaining and dispositioning exhibits within prescribed policies and timelines, monitoring individual workloads to ensure the court is meeting mandatory deadlines and performance measures, and teaching staff about our business continuity plan, evacuation strategies, and emergency procedures.

Assigned tasks may be changed to accommodate workload and organizational needs.

Minimum Qualifications

The qualified candidate must have an associate’s degree in business, management, or a related field.

AND

Five (5) years of progressively responsible supervisory or staff-support experience. Qualifying OJD experience would be at the equivalent of Court Operations Associate or above.

NOTE: Your recent experience must reflect staff support or supervision, directly or through lead workers, of staff performing a wide variety of clerical, analytical, and technical support duties. The supervisory experience must include most, or all, of the following:

special projects,

developing and updating policies and procedures,

hiring or recommending hiring,

training,

assigning and reviewing work,

evaluating performance,

responding to staff concerns, and

handling disciplinary actions.

OR

Any combination of education and experience equivalent to seven (7) years of experience that typically supports the knowledge, skills, and abilities for the position.

Experience and skill in establishing long-range objectives and specifying the strategies and actions to achieve them.

Experience supervising staff, including training, motivating, effectively communicating, assigning, and evaluating work, and handling discipline.

Experience accomplishing work through developing collaborative relationships with internal and external stakeholders.

Experience creating and developing business processes.

Experience evaluating statutory, rule, or system changes to ensure rules, processes, or procedures are compliant and meet all necessary requirements.

Working Conditions

This is a full-time position, and the general work schedule is 7:30 a.m. to 4:30 p.m. Monday through Friday. This position is FLSA-exempt and ineligible for overtime compensation for hours worked in excess of 40 per work week.

Occasional irregular, after-hours, or overtime work may be required.

This position provides backup coverage for supervisors in the Court Information and Accounting section, the Court Records section, and other operations as needed.

This position constantly monitors courtroom dockets to re-evaluate staffing needs in each of the courtrooms and must make quick/immediate decisions regarding reallocation of staff, balancing individual courtroom needs, judge expectations and staff availability.

Frequent phone and in-person contact with people from diverse backgrounds.

Frequent phone and in-person contact with people who may be facing challenging life circumstances, highly stressful situations, or trauma.

Long periods of sitting or standing may be required.

Regular use of the following equipment: telephone, OJD-assigned computer with multiple monitors, copy machine, fax machine, and scanner.
