Tonkon Torp, a prominent, full-service firm in Portland, Oregon, is looking for a motivated and detail-oriented Trusts & Estates Legal Assistant to join our busy Trusts & Estate Department immediately.

Ideal candidates should possess excellent organizational and proofreading skills, be able to coordinate with support teams and administrative agencies, and enjoy detailed work in a busy, deadline-driven environment. Hybrid work may be available after the first 30 days of employment.

Typical duties may include:

Prepare documents including, editing, and finalizing format and style in compliance with department or agency requirements

Serve as witness and/or notary when documents are signed and include occasional signings outside the office.

Handle potential new client calls, running conflict checks, and prepare new business memos

Order public records including birth, death and marriage certificates

Manage and maintain calendars. Including schedule and coordinate appointment, meetings, and conference calls

Manage client billing, including review and edit pre-bills, and sending bills to clients

Check in regularly with attorney on project deadlines and prompt as needed

The ideal candidate has:

Three years of experience as an assistant supporting trusts and estate attorneys or similar applicable work experience preferred.

Excellent organizational skills with demonstrated ability to manage multiple priorities, meet deadlines, solve problems, and take initiative with minimal supervision.

Strong work ethic and be able to consistently produce high quality work in response to tight deadlines

Proficiency in Microsoft Office, Adobe Acrobat (or similar), DocuSign, Excel, and PowerPoint and a willingness and ability to learn new systems. Familiarity with BigHand is a plus.

Excellent keyboarding, grammar, spelling, and proofreading skills

Excellent verbal and written communication skills with clients, firm members, and other professionals

Exceptional interpersonal and customer service skills, and ability to maintain composure in stressful situations.
