We're on the lookout for a proactive, detail-oriented, and tech-savvy Temporary Personal Assistant to support our client based in Los Angeles! The role primarily involves supporting the employer with professional and personal responsibilities, while also thinking of innovative creative solutions to help better organize her life. Flexibility in scheduling is offered, with the expectation of efficient and effective task completion. While the Personal Assistant is not required to work on holidays, availability during business hours is preferred.

The ideal candidate is highly organized, has excellent time management skills, a positive outlook, and a strategic mindset. Someone who has a strong work ethic and the ability to thrive working both independently and collaboratively, while also keeping the principal updated on task completion is best suited for this position.

Responsibilities include:

Daily:

- Keep the calendar current by updating and managing appointments

- Schedule hair appointments as needed

- Arrange follow-up meetings with the tax accountant regarding quarterly taxes and amendments

- Book travel for business trips

- Prepare business trip expense reports

- Manage email correspondence efficiently

Weekly/Bi-Weekly:

- Stock common household items as needed

- Compile grocery lists and complete shopping tasks

- Maintain a list of all donatable goods and their approximate prices

- Research and purchase patio furniture

- Research and purchase guest bedroom furniture

- Research and enroll in new healthcare providers or insurance plans

- Facilitate and oversee assembly tasks through TaskRabbit

- Run various errands including Amazon returns, post office visits, and grocery shopping

- Coordinate with plumbers, painters, and installers at rental locations as necessary

- Schedule light fixture installers for rental properties

- Arrange for rental re-keying services

- Organize closets and kitchen spaces

- Manage personal file organization and maintain personal files

Monthly:

- Perform accounting tasks by properly tagging expenses in Quicken and generating Excel output

- Conduct a meeting to review schedule for the upcoming 1-2 weeks

- Review decisions requiring attention, such as selecting researched items for purchase

- Coordinate with a travel agent to schedule upcoming trips

- Book upcoming travels

- Create and maintain a file including:

- List of contacts (personal, home, rentals, business)

- Inventory of household items

Requirements Qualifications:

- 5+ years of Personal/Administrative Assistant experience

- Excellent communication skills

- Strong proficiency in Microsoft Office Suite and Google Workspace

- Tech-savvy with the ability to quickly learn new software and tools

- Ability to work independently

- Positive attitude and willingness to adapt to changing priorities.

- Must have a driver’s license and reliable transportation - mileage will be reimbursed
