Knowledge of Banner or related software, E-Verify and Banner Data Management Systems. Proficient knowledge of Microsoft Office (Outlook, Word and Excel) Applications. Ability to advise and resolve questions, exercising appropriate levels to discretionary judgment. Ability to work independently with little or no supervision and to take initiative to see projects and assignments through to completion with minimum to no errors. Ability to plan, prioritize and organize workflow. Excellent analytical and organizational skills along with written and oral communication skills. Strong interpersonal skills to interact effectively and diplomatically with a wide range of individuals in a high pressure and fast-paced environment.Primary Purpose of PositionThe Human Resources Specialist will support the day-to-day functions of the Employment, Classification and Compensation (ECC) team. This position will complete the I-9/E-Verify submissions within three business days of employee’s start date and the employment eligibility verification process prior to the deadline to ensure federal compliance. Other duties include but are not limited to sending new employee orientation emails and completing student and temporary hire actions and recruitments, graduate assistantships, work-aids, stipends, post-doctoral fellows and other duties assigned. The selected candidate will provide excellent customer service and communication with employees at all levels of the University regarding the employment eligibility requirements for new and rehired employees, data collection and entry, monthly and annual reporting. Monitors data within the Electronic I-9/E-Verify system. Follow-up with hiring departments and/or employees for missing or incomplete documentation. Verifies all forms are completed according to federal and state laws. Performs frequent follow-ups with departments to resolve paperwork discrepancies. Process and updates data within PeopleAdmin. Runs reports within the Electronic I-9/E-Verify system to ensure compliance. Notifies employees and departments of E-Verify tentative non-confirmation results. Meets with employee and acts as a liaison to assist employee in resolving non-confirmation results. Reviews queries and reports within PeopleAdmin; verifies data, investigate discrepancies, updates data in PeopleAdmin as needed. Ensure all I-9 forms are completed for applicants/students and submitted for processing. Initiate all employee ID numbers as neededRequired Competency Coordination - OperationsDutiesThis position works with hiring authorities to ensure prompt and accurate flow of employee documentation. Handles problems and inquiries that require some use of independent judgment to fit facts with established procedures. Duties may require the employee to conduct basic research and compilation of information.As needed employee will provide general administrative support to the Employment and Classification and Compensation Team such as filing, copying, submission of criminal background checks, establishing ID numbers, assisting with reports. Coordinate the processing of work-aid students and stipend recipients. Review all forms and paperwork to ensure students are eligible; ensure all I-9 forms are completed and submitted for processing in order to meet payroll deadlines. Communicate with students and departments when information is missing.Required Competency Communication and TeamworkDutiesThis position is the primary point of contact for hiring departments and employees for all questions related to I-9/E-Verify regulations and I-9/E-Verify electronic system. The employee must provide excellent customer service to internal and external customers (e.g., hiring managers, job applicants, departmental staff). This employee will also provide coverage for the reception desk as needed.
