POSITION SUMMARY:

This position acts as the office receptionist; provides administrative support to office and field staff, performs various clerical duties, and assists with marketing projects, permit processes, safety program, vehicle management, and other assigned tasks as needed.

QUALIFICATIONS:

High School Diploma, good overall office skills, some clerical experience or education preferred.

Proficiency and experience using computer systems including Microsoft Office Suite, Adobe Creative Cloud, Canva and Wondershare.

Professional, polished, and personable.

Must be detail oriented, have good organizational skills and use of good judgment when prioritizing workflow.

Must be reliable, dependable and on-time for work each day.

Valid Oregon driver’s license and driving record that meet insurance requirements.

KNOWLEDGE, SKILLS & ABILITIES REQUIRED:

Good verbal and written communication skills required, including the ability to accurately compose, proofread and produce business related documents.

Must have excellent interpersonal skills to be able to deal effectively & professionally with co-workers, clients, sub-contractors, vendors, and others involved with business operations.

Must be comfortable managing multiple tasks, answering phones, greeting visitors, while keeping an organized desk and office environment.

Ability and technical skills to assist with various tasks including marketing projects, permitting processes, safety program, and management of company vehicle fleet.

Must have high ethical standards & be able to uphold Sun Forest’s excellent reputation in the business community.

Must have the physical ability to meet the demands of the position, which include standing, stooping, kneeling, crawling, and other office duties as required. JOB DUTIES & RESPONSIBILITIES:

1. Create a clean, warm, and welcoming atmosphere in the front office area, promptly answer incoming calls in a friendly manner, take messages and screen potential clients using “intake” form.

2. Keep lobby and supply room clean and organized. Reorder and restock supplies as needed. Ensure copier and all other office supplies are functioning properly.

3. Daily tasks as assigned (details TBD).

4. Assist the office team with various tasks including but not limited to; ordering plans, permit processes, subcontractor bid process, project warranty books, safety program/materials, manage vehicle records and maintenance, etc.

5. Provide general office support to the custom homes, remodel and sales teams, design, HR and accounting staff.

6. Exhibits good judgment, high ethical standards, and competent decision-making skills at all times, and represents Sun Forest reputably with our clients, staff, suppliers, business associates, and in the community.
