Veterinarian Receptionist
Job Summary
The Receptionist shall be responsible for Customer Service, communications with both Clients and Staff and
also for organized and diligent follow-up regarding information coming into or leaving the company. This is a
key position for ensuring a positive experience and a successful outcome for every Client.
Essential Functions
Comfortable working around and with all types of animals including, but not limited to, dogs and cats.
Work in collaboration with all other staff to ensure that TVA supports the delivery of high quality care
to TVA clients and patients.
Communicate with clients and with staff clearly and accurately.
Primary Areas of Responsibility
Answer phones and take messages
o refer Prospective Client calls to Operations Manager
o assist with other follow up calls as requested
Schedule and confirm appointments
o check schedule for conflicts
Update FYI notes throughout day
Maintain Patient Folders
o inspect for missing information, vaccination status
o verify information entered into various computer records
o add additional information received at any time, by fax, etc.
Check Clients IN and OUT
o make sure any notes/reports, etc. prepared for Client leaves with them
o encourage clients to confirm/schedule future appointments
o generate invoices, and enter payments in Quickbooks
o settle credit card transactions, or prepare deposits as needed
o know when clients who might be in arrears are due in for appointment, and resolve
Client information/education about Thera-Vet Acres
o products and services, pricing
o maintain retail stock (coordinate w/Operations Manager, who does purchasing)
o understand policies and procedures to act as information resource for staff, clients
