Job Summary:

We are seeking a dedicated and detail-oriented Administrative assistant to join our team temporarily, with the potential for a full-time position. This role involves answering phones and tickets, assisting estimators with quotes, working with the Dispatching Department, and performing various clerical functions. The ideal candidate will support multiple departments simultaneously and handle customer communication and scheduling with efficiency.

Duties and Responsibilities:

Answer phone tickets and respond using company software, including e-file documentation for all job files.

Familiarize with all job files in production and assist Production and Estimating departments in communicating job status with customers.

Assist in job file and job folder management and complete Work in Process (WIP) sheets.

Perform some Accounts Payable (AP) and Accounts Receivable (AR) filing.

Carry out other duties and responsibilities as assigned, related to the nature of the job.

Qualifications:

High School Diploma or equivalent (on-the-job training available).

Knowledge of basic office equipment (phone, fax, copier, 10-key).

Strong Microsoft Office skills.

Excellent verbal and written communication skills.

Ability to communicate effectively with employees, peers, supervisors, vendors, and customers.

Detail-oriented, organized, with strong problem-solving skills.

Ability to perform basic math calculations.

Ability to apply common sense understanding to carry out written and verbal instructions.

Ability to work independently.

Physical Requirements:

Ability to perform sedentary work, including walking, standing, squatting, and bending.

Ability to lift up to 30 lbs.

Prolonged periods of sitting, standing, and repetitive use of fingers and hands for typing.

Job Types: Full-time, Temporary, possible permanent

Pay: $18.00 - $22.00
