Overall Objectives for Operational Staff Accountants

- To ensure our employees are paid by reliably and accurately running payroll

- Client billing and collecting past-due amounts from clients to help firm with cashflow

- Bookkeeping for two S-Corps - Boschan Corp. (accrual basis) and Auditrix, Inc. (cash basis)

- To achieve professional growth and self-fulfillment at the firm

Position Reports To

Firm founder and/or senior operational personnel

Skills and Education Required

Experience or high degree of interest in learning QuickBooks Desktop, Accrual Accounting, Billing and Payroll. Tax experience is a plus.

We encourage professional-oriented individuals without a college degree to apply.

Responsibilities of Each Team Member

The firm depends on each employee to take ownership of the following:

High Human Relations Standards

- Abide by confidentiality and nondisclosure agreements

- "Own" responsibility for the tasks and roles assigned to you

- Maintain via Microsoft Outlook a calendar and a work schedule at least 3 weeks in advance to make it easy on others to schedule time

- Have integrity: Reset expectations in advance when a deadline or budget won’t be met

- Be dignified: Dress professionally and observe traditional etiquette in meetings, offices, at business events and "in the field"

- Speak confidently and clearly on the telephone and Zoom, (if on-site, to knock stridently at the door to announce your presence instead of lurking) (Try Toastmasters if this causes you anxiety.)

- Ask many, many questions to better understand the task and the engagement at hand (whether due to language barrier or other reasons)

- Connect with voice over the phone - Reach out and call for real time help from a colleague or client. Leave voice messages in lieu of detailed emails.

- Be punctual and easy to reach during scheduled work hours

- Connect visually - clients and potential clients respond well to our cheerful, kind, and friendly appearance on video. Request a ring light or other items to support your best bright-eyed, polished, and professional self on video.

- Be featured in firm photographs and/or video to be used for marketing purposes (e.g., on social media)

- Schedule at least three weeks in advance and appear virtually or in-person for real-time meetings with team members (i.e., such as weekly staff video conference, and up to six meetings audio or video meetings per week with those to whom you report and/or those who report to you, as applicable). All meetings involving interns or employees focusing on English or those who are hearing impaired are video meetings or in-person meetings (audio only meetings are permitted for higher level staff).

Basic Daily Tasks

- Process your Inbox into action items (tasks)

- Prioritize and track tasks assigned to you and message team members via our project management system

- Communicate in real time (e.g., in a Teams meeting or in-person) daily with reports or supervisor, as applicable, collaborating on task prioritization, by when dates and budgets for assignments

- Record time and detailed task descriptions in our time management system

- Synchronize local copies of your work product with our cloud

Sharpening the Saw

- Participate in in-house training and staff meetings

- Pursue educational opportunities to ensure skills stay up-to-date and expertise is developed

- Provide industry and technical training to colleagues at the firm

- Participate in performance review process

- However, there are certain responsibilities that are unique to each role at the firm.

Responsibilities Specific to the Operational Staff Accountant Role

Below are the responsibilities of operational staff accountants that others may not share:

Be flexible schedule-wise to receive initial training (via video conference or in-person) a supervisor for 15 hours (not all at once) to understand the work that is underway and give you an opportunity to ask basic questions until it is clear

The primary responsibilities of the operational staff accountant are bookkeeping for two S-Corporations (and some responsibilities related to shareholder’s personal tax matters and/or organizations with which we volunteer):

 Entering financial accrual transactions into QuickBooks

 Completing monthly reconciliations of all accounts

 Processing payroll in QuickBooks payroll, including filing payroll tax forms

 Accounts payable (paying bills, communicating with vendors)

 Owns most client billing tasks (submitting invoices, collections)

 Running management reports, such as realization reports

 Assisting with budgeting

 Compliance with timely city, federal and state tax and licenses liability estimates and filings for two corporations, a non-profit and an individual

 Scanning and filing financial documents (including downloading scans from our mail processor)

 Assisting other financial and/or miscellaneous tasks as requested (e.g., filling out forms, certain HR-related tasks, credit line application, 401K vendor selections)

Schedule & Advancement

The transaction volume is low thus we estimate the time commitment would be approximately 5 to 10 hours per week for this position. Please note, if you desire more hours, additional work may be available in client services. Please advise if this interests you. At least to start, most of the hours would need to be worked between 9AM – 6PM Monday through Saturday, although the exact schedule is flexible.

Compensation

o + $18-$25 hourly wage for staff level

o + Weekly performance bonuses

Remote Work Stipend

o Remote employees averaging over 30+hr/week = $50 Monthly Stipend

o Remote employees averaging 20-29hr/week = $40 Monthly Stipend

o Remote employees averaging 10-19hr/week = $30 Monthly Stipend

o Remote employees averaging less than 10hrs/week = $20 Monthly Stipend
