We are seeking a professional and friendly Receptionist to join our team. The Receptionist will be the first point of contact for our clients and visitors, representing our firm with a positive and welcoming demeanor. This role requires excellent communication skills, strong organizational abilities, and the ability to handle multiple tasks efficiently in a fast-paced environment.
Key Responsibilities:
Client Interaction: Greet clients and visitors with a warm and professional attitude. Answer and direct phone calls promptly and efficiently. Manage the reception area to ensure a welcoming environment.
Administrative Support: Perform clerical duties such as filing, photocopying, and scanning documents. Manage incoming and outgoing mail and deliveries. Assist with scheduling appointments and maintaining calendars.
Data Entry: Maintain and update client records and case files in our database. Ensure accuracy and confidentiality of all information.
Coordination: Liaise with attorneys, paralegals, and other staff to ensure smooth communication and workflow. Coordinate with building management and external vendors as needed.
Office Management: Monitor and order office supplies. Maintain the cleanliness and organization of the reception area and conference rooms.
