Job Summary:

The Medical Assistant will play a critical role in a busy urology office, providing both front and back office support. The Medical Assistant will be responsible for assisting with various urology procedures, including but not limited to cystoscopy, TRUS biopsy, and vasectomy. In addition, the Medical Assistant will be responsible for managing the office's supply inventory, ordering and restocking supplies as needed. The Medical Assistant will also perform front office duties, such as checking in patients, verifying insurance eligibility, obtaining insurance authorizations, preparing charts, and confirming appointments. Experience with electronic health records (EHR) is required.

Duties and Responsibilities:

Back Office Duties:

Assist the urologist in setting up and preparing for various urology procedures, such as cystoscopy, TRUS biopsy, and vasectomy.

Sterilize and prepare instruments and equipment for procedures, following strict infection control protocols.

Provide assistance to the urologist during procedures as needed, anticipating their needs and maintaining a sterile field.

Document patient information, vital signs, and procedure details accurately in the electronic health record (EHR).

Educate patients on pre- and post-procedure instructions, and answer any questions they may have.

Assist with patient positioning and comfort during procedures, ensuring their safety and well-being.

Clean and disinfect exam rooms and procedure rooms after each patient visit, maintaining a clean and organized environment.

Front Office Duties:

Greet patients in a friendly and professional manner, checking them in for their appointments and verifying their personal and insurance information.

Obtain insurance authorizations for procedures and tests, ensuring that proper documentation is obtained and recorded accurately.

Prepare patient charts for upcoming appointments, ensuring that all necessary documents and forms are in order and properly filed.

Confirm patient appointments and provide reminders as needed, scheduling and rescheduling appointments as necessary.

Answer phone calls and address patient inquiries in a timely and professional manner.

Collect copayments and outstanding balances from patients, following office policies and procedures.

Maintain patient confidentiality and comply with HIPAA regulations at all times.

Supply Management:

Monitor and manage the inventory of medical supplies and equipment in the office.

Order supplies as needed, ensuring that adequate stock levels are maintained at all times.

Receive and stock supplies upon delivery, ensuring proper storage and organization.

Check expiration dates on supplies and dispose of expired items according to office protocols.

Collaborate with office staff to develop and implement efficient supply management processes.

Qualifications:

High school diploma or equivalent.

Completion of a Medical Assistant program from an accredited institution.

Current certification as a Medical Assistant.

Minimum of 2 years of experience working as a Medical Assistant in a urology office or similar clinical setting.

Experience with urology procedures, including cystoscopy, TRUS biopsy, and vasectomy.

Proficiency in using electronic health records (EHR) for documentation and scheduling.

Strong organizational skills with the ability to manage multiple tasks and prioritize workload.

Excellent communication and interpersonal skills, with the ability to interact professionally with patients, staff, and physicians.

Knowledge of medical terminology, infection control protocols, and HIPAA regulations.

Ability to work independently and as part of a team, with a positive attitude and strong work ethic.

The Medical Assistant will report directly to the urologist or office manager, and work closely with other healthcare providers and office staff to ensure the smooth operation of the urology office. This is a full-time position with regular office hours, and occasional evening or weekend hours may be required based on the needs of the office.
