Well-Known Billion-Dollar Private Investment Management Firm in Midtown Manhattan is seeking a new Full-Time/Permanent Executive Assistant to support 2 Partners in their Real Estate Investment Team. Candidates must have a minimum of 8-15 years of applicable high-level executive administrative support experience working in financial services (required) and a Bachelor’s degree is also required. Ideal candidates should be extremely detail-oriented, organized, team-oriented, accustomed to working in a fast-paced environment, possess excellent Microsoft Office Suite and exceptional interpersonal and communication skills (both verbal and written). They must also be ok with doing some light personal work. This is an extremely reputable firm with a diverse, dynamic environment that prides itself on excellence – both Partners are also extremely nice!

Salary depends on experience (90-115k base), plus BUILT-IN paid overtime (approx. 20-40k) and discretionary bonus (140-160k total compensation package), free/catered breakfast and lunch, fully paid benefits, 401k match, 15 vacation days, 2 personal days, 7 sick days, “work from anywhere” 6 weeks/year, gym reimbursement, etc.

Hours are 8:30am-5:30pm, with flexibility as needed. Hybrid work schedule (3 days in office, 2 days remote – Tuesday-Thursday in office).

Responsibilities

Provide primary high-level executive administrative support to 2 Real Estate Partners.

Manage and maintain all aspects of the Real Estate Partners’ calendars, including scheduling appointments and conference calls, coordinating meetings, and booking domestic and international travel.

Answer phones and initiate responses promptly; excellent etiquette and ability to screen calls.

Ensure calendars are running on time by actively maintaining calls, meetings, and emails that require reminders and follow up.

Meet and greet guests and visitors.

Act as the liaison between internal and external parties.

Maintain contacts in both personal and firm CRM/databases (Outlook, Workday, etc.).

Prepare and edit reports, correspondence, and presentations as required. Exposure to all cyclic and annual processes.

Maintain an organized computer and physical filing system (business and personal), including scanning and printing of materials as requested and mailings (i.e., USPS, FedEx, messenger services, etc.).

Complete monthly expense reports and ensure on time submissions.

Assist with ad-hoc tasks, as requested.

Requirements/Qualifications:

Bachelor’s degree from 4-year institution strongly preferred/required.

Minimum 8+ years of relevant experience.

Advanced proficiency in Microsoft Office Suite.

Able to excel in a professional business environment with competing priorities, deadlines, and frequent changes.

Possesses good judgement.

Anticipates problems in advance and offers up solutions.

Able to maintain discretion and confidentiality at all times.

Possesses strong attention to detail as well as the ability and desire to consistently achieve thorough and accurate results.

Extremely organized.

Understands, and is comfortable with, providing coverage for team members that may change from time to time at the discretion of the Firm.
