Description We are offering a contract to hire employment opportunity for an Office Manager in the Architecture industry, based in San Francisco, California. The Office Manager will be integral to maintaining the smooth operation of our office by providing administrative support to all levels of staff, managing office facilities, coordinating shipping/deliveries, and assisting with project support among other responsibilities.Responsibilities: Provide comprehensive administrative support to all levels of staff, including the coordination of team/project/client meetings and communication activities. Handle the upkeep of the office environment and serve as a liaison with building management for maintenance requests. Oversee visitor management protocols, including guest relations during office hours, managing guest sign-ins, handling incoming calls, and ensuring Office Safety Guidelines are displayed prominently. Coordinate shipping and deliveries, manage incoming and outgoing mail/packages. Assist with procurement of office materials and supplies as required. Support the onboarding process for new hires, including coordination with IT for equipment setup and collection upon exiting. Oversee safety and compliance programs for the office, including maintenance of office standards and safety equipment. Provide project support, including technical assistance, document control, records management, and coordination of project-specific reports. Assist with financial reports for office leaders, tracking of data, senior staff tracking, and travel/expense report support. Serve as a local office point of contact for coordination of IT issues, including new computer setup, server/HVAC/other equipment issues, and responding to Service Desk emails. Utilize Microsoft Office applications for creating Excel spreadsheets, formatting Word documents, and developing PowerPoint presentations.The successful candidate will demonstrate a strong proficiency in Administrative Office and Basic Office Skills. Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook. Exceptional organizational skills with the ability to manage multiple tasks simultaneously. Strong written and verbal communication skills. Ability to maintain confidentiality and handle sensitive information with discretion. Demonstrated problem-solving skills with the ability to make independent decisions. High level of attention to detail and accuracy. Excellent time management skills with the ability to prioritize work. Understanding of office management procedures and departmental and legal policies. Experience with office equipment such as printers, fax machines, and phone systems. Ability to work well under pressure and meet deadlines. Strong interpersonal skills and the ability to work well in a team environment. Flexibility to adapt to changes in procedures or job duties. Basic office skills including typing, filing, and record keeping. Strong customer service skills with the ability to interact professionally with clients and staff. Willingness to participate in ongoing professional development and training. Ability to maintain a professional and positive attitude in a fast-paced environment.
