We are looking for a responsible Administrative Assistant to perform a mixture of administrative and secretarial tasks. Duties of the Administrative Assistant include providing support to the CEO, assisting in everyday office needs and managing the CEO’s general activities.

Role Objective:

The successful Admin Assistant will ensure the efficient and smooth day-to-day life of the CEO. One of our big missions is to find distributors for our products and services. You must be willing to learn to get inside the CEO’s head. Your goal is to learn how the CEO communicates and be able to mimic him.

Key Responsibilities:

Organize and manage files and databases in a classified manner

Manage correspondence including emails and phone calls

Screen phone calls, redirect calls, and receive messages

Plan appointments, meetings, and reservations as needed

Receive deliveries; sort and distribute incoming mail

Maintain and order office supplies

Receive and organize invoices, review for accuracy, and submit

Coordinate CEO travel arrangements including transportation and accommodations

Skills and Qualifications:

Associates degree preferred

2+ years of clerical, secretarial, or office experience

Proficient computer skills, including Microsoft Office/ Google products

Strong verbal and written communication skills

Comfortable with routinely shifting demands

A high degree of attention to detail

File maintenance experience

Working knowledge of general office equipment

Professional attitude and appearance

Solid written and verbal communication skills

Ability to be resourceful and proactive when issues arise

Outstanding organizational skills

Multitasking and time-management skills, with the ability to prioritize tasks

Must be willing to learn or have experience in document creation and spreadsheets.

Availability of schedule that can adjust to the demands and projects of the CEO, as necessary. Which may include days, evenings, and weekends.
