Scheduling: Coordinate meetings and schedule appointments for administrative staff, managing calendars with precision.
Record Keeping: Maintain and update office records and files, ensuring accuracy in documentation and data entry.
Administrative Tasks: Assist with general tasks such as document management, copying, and organizing materials.
Team Collaboration: Work with the team to ensure efficient daily operations and contribute to a welcoming office environment.
Technical Proficiency: Utilize Microsoft Office tools (Word, Excel, Outlook) for managing tasks and correspondence.
Interpersonal Skills: Build positive relationships with visitors and team members through strong interpersonal skills.
Phone System Management: Operate a multi-line phone system, directing calls to the appropriate personnel as needed.
Requirements Minimum of one year experience in a similar role
Proficiency in answering multi-line phone systems Strong customer service skills Experience in data entry Ability to handle email correspondence effectively Excellent interpersonal skills Proficiency in Microsoft Excel, Microsoft Outlook, and Microsoft Word Experience in organizing files Ability to schedule appointments efficiently High school diploma or equivalent Ability to multitask and prioritize tasks Strong written and verbal communication skills Detail-oriented and organized Ability to work well in a team environment.
