Administrative Assistant
Description We are offering an opportunity for an Administrative Assistant in the Real Estate & Property industry, located in Portland, Maine, United States. This role offers a long-term contract employment opportunity and is set in a fast-paced working environment. The Administrative Assistant will be responsible for various administrative and customer service tasks, including handling tenant complaints, coordinating maintenance tasks, and managing rental payments.Responsibilities: Demonstrate professionalism and reliability in a front-desk setting. Take responsibility for rental payments and follow up with residents regarding overdue rent. Provide excellent customer service, handling tenant complaints promptly and efficiently. Coordinate and schedule maintenance tasks with tenants and contractors, ensuring effective communication. Conduct income and asset-based verification for all new residents. Assist in various clerical duties as required. Utilize Microsoft Office skills, particularly Excel, to maintain organized and accurate records. Exhibit strong multi-tasking skills to manage various tasks simultaneously. Display exceptional organization and detail-oriented skills in all tasks. Requirements Proficiency in MS Office Suite including MS Excel, MS Word, and MS Outlook Demonstrated experience with switchboard operation, handling up to 10 phone lines Proven basic office skills such as filing, scheduling, and organizing Exceptional customer service skills and ability to handle client inquiries in a professional manner Strong organizational skills with the ability to multitask and prioritize tasks effectively Excellent verbal and written communication skills Ability to work independently and as part of a team High attention to detail and accuracy Previous experience in a real estate or property management setting is a plus Ability to handle confidential information with discretion High school diploma or equivalent is required Must be legally authorized to work in the country.
