Office Manager
Description We are offering an exciting opportunity for an Office Manager in Burlington, Massachusetts. The individual will be responsible for maintaining an organized office environment, coordinating with various departments, and contributing to client service efforts. This role is integral in ensuring smooth operations within our firm, providing support to all levels of management, and facilitating communication across departments. Responsibilities: Oversee the maintenance and organization of master OneDrive account folders. Manage the ordering of office supplies and uniforms to ensure smooth daily operations. Assist in the review of quality control for cleaning manager client presentations and reports. Coordinate correspondence with various insurance agencies for certificates of insurance, policy renewals, and insurance claims. Act as a backup for communication with union concerning new and terminated accounts, building rosters, and employee grievances. Assist in drafting proposals, obtaining approvals, coordinating with site managers, scheduling project work, processing invoices, and obtaining notarized construction job invoices. Support marketing and signage activities within the company. Aid area managers and other operations personnel in handling client complaints and utilizing the client services platform. Organize monthly operations meetings and maintain an issues log of outstanding matters. Liaise with the local insurance carrier representative to gather information related to work accidents. Handle unemployment insurance claims, workers compensation claims, FMLA claims, MA PFML claims, and other requests for leave. Coordinate training with employees as required by federal, state, and client obligations. Update clients on rate increases based on annual union rate changes. Maintain the client contract database, ensuring all clients have complete and signed contracts. Collaborate with operations to prepare information needed for monthly and weekly work order and holiday billing.
