POSITION OVERVIEW

We are seeking an exceptional Bilingual Administrative Professional to join our team. This full-time, in-office role requires proficiency in both English and Spanish and involves overseeing daily operations, supporting our team, and managing client interactions. The successful candidate will exhibit superior organizational skills, attention to detail, and a proactive approach to problem-solving.

KEY RESPONSIBILITIES

Database Management: Update and maintain accurate staff and client records in databases.

Onboarding & Documentation: Prepare and process onboarding materials and employee packets with accuracy and efficiency.

Operational Oversight: Supervise daily operations including billing, debt collection, security, and health and safety communications.

Information Relay: Review and interpret information from various departments and organizations, and communicate relevant details to team members.

Correspondence Management: Manage internal and external correspondence with professionalism.

Administrative Duties: Handle emails, scheduling, payments, and oversee office inventory and supplies.

Staff Support: Provide support and manage field supervisory staff as needed.

Billing & Payroll Processing: Process billing through QuickBooks, Vendor Cafe, and other platforms. Process and submit payroll for over 100 employees, ensuring accurate compensation, scheduling, and adjustments.

Financial Coordination: Coordinate with the accountant and CPA to ensure accurate financial management.

Issue Resolution: Address issues promptly and manage workflow to meet client requirements effectively.

QUALIFICATIONS

Language: Bilingual in English and Spanish.

Technical Skills: Proficient in Microsoft Office Suite (Excel, Word), QuickBooks

Experience: Demonstrated experience in administrative roles with strong time management skills.

Skills: Excellent organizational, analytical, problem-solving, and customer service abilities.

Attributes: Positive attitude with strong leadership, delegation, and workflow management skills. Reliable, assertive, and dedicated with a proactive, results-oriented approach.

COMPENSATION

Competitive salary based on experience; rate is negotiable.
