South San Francisco Business Immigration Law Firm is currently seeking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. We are a boutique immigration law firm specializing in both corporate immigration and family immigration cases. Our team is dedicated to providing personalized and high-quality legal services to our clients. We pride ourselves on our commitment to excellence, professionalism, and client satisfaction. We are currently seeking a motivated, passionate, and detail-oriented Administrative Assistant to join our team.

Job Responsibilities:

· Provide administrative support to attorneys and legal staff, including managing calendars, scheduling meetings, and organizing case files online.

· Handle incoming calls and emails, respond to client inquiries, and provide information as needed.

· Prepare and issue checks for government filing fees to be submitted to USCIS.

· Handle incoming mail by scanning, updating online database, and informing clients.

· Assist with the filing of immigration petitions including, copying, scanning, mailing and updating online data base.

· Maintain and organize electronic filing systems, ensuring that all client and case information is up-to-date and easily accessible.

· Perform data entry and maintain client databases, ensuring accuracy and confidentiality.

· Coordinate and manage office supplies, equipment, and other administrative tasks to ensure the office runs smoothly.

· Assist with special projects and other tasks as needed.

Skills

· Proven experience as an administrative assistant or office admin assistant

· Ability to manage multiple tasks, keep track of important documents, and maintain an organized workspace.

· Proficiency in both written and verbal communication for interacting with clients, attorneys, and other stakeholders.

· Working knowledge of office equipment, like printers and fax machines and ability to scan and mail.

· Experience with Microsoft Office Suite (Word, Excel, Outlook) and other office applications.

· Ensuring accuracy in data entry.

· Ability to manage multiple tasks, keep track of important documents, and maintain an organized workspace.

· Understanding the importance of maintaining client confidentiality and handling sensitive information securely.

· Efficiently prioritize and manage tasks to meet deadlines and support the firm’s operations.

· High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
