ADMIN ASSISTANT/RECEPTIONIST

Position Description:

The Receptionist/Administrative Assistant must be able to function in a fast-paced environment, have excellent communication skills, be able to multitask, and be reliable.

Duties and Responsibilities:

Primary Responsibilities

Exhibits polite and professional communication via phone, e-mail, and mail.

Greets and welcomes guests/applicants in a helpful manner

Offering beverages

Making coffee upon request of visitor

Answers incoming calls promptly and courteously

Follow telephone guidelines per policy and procedure.

Taking note of all incoming calls (name, phone number, time, nature and urgency of the call etc…)

Transfer calls to appropriate personnel

Receiving incoming mail and packages

All mail received should be handed directly to Melissa without sorting through it

Checking next door for mail/packages

Outgoing mail and packages

Using the stamp machine

Keeping a record of all outgoing mail on a notebook

Mail out paystubs, invoices, caregiver surveys, applicant reference, birthday cards, etc.

Filing and organizing important documents

Making copies

Maintains supply inventory by checking office supply stock

Booking PCR tests for staff members

Assists with general clerical tasks

Supports the operation of the office by performing tasks related to organization and strong communication.

Additional Responsibilities

Prepares materials and assists with the onboarding/orientation process regarding schedules and paper flow.

Performs other clerical duties

Maintains client and staff confidentiality

Qualifications

1. High school graduate with minimum of two years of progressive business experience; bachelor’s degree preferred.

2. Proficient in word processing, spreadsheet software.

3. Demonstrated knowledge of the appropriate skills for communicating with individuals of all ages, especially the geriatric population.

4. A minimum of two years' work experience in a healthcare environment, Experiences in a fast-paced work environment, including adapting to changing priorities.

Degree of Travel

Minimal. Visiting clients and doing groceries for the clients is an option.
