Administrative Assistant
Description We are seeking an Administrative Assistant based in Fairfield, California. The role requires a highly organized individual to manage human resource files and handle transactions related to the Department of Motor Vehicles (DMV). This role offers a short term contract employment opportunity and is based within the industry of administration.Responsibilities: Assist in human resource affairs, including managing HR documents and updating internal databases. Handle DMV transactions such as processing vehicle registration and maintaining up-to-date vehicle records. Ensure compliance with all DMV regulations and keep abreast of regulatory changes from the Department of Labor and Department of Motor Vehicles. Maintain confidentiality of sensitive information related to both HR records and DMV transactions. Provide prompt, efficient, and accurate responses to inquiries or requests regarding HR and DMV matters. Regularly report to Management about existing paperwork, updates, and any potential issues. Work closely and transparently with all external partners including third-party vendors and consultancies. Use Microsoft Office Suite (Word, Excel, Outlook) and other necessary software to perform data entry and schedule appointments. Provide excellent customer service and handle both inbound and outbound calls. Handle email correspondence professionally and promptly. Requirements Must have at least 2 years of experience in an Administrative Assistant role or similar Proficient in Microsoft Office Suite including Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, and Microsoft Word Strong customer service skills and experience in handling both inbound and outbound calls Demonstrated ability in data entry and managing email correspondence Experience in scheduling appointments and managing calendars Ability to multitask and prioritize work as needed Excellent communication skills and attention to detail Ability to work independently and as part of a team High school diploma or equivalent required, further education or certification in Business Administration is a plus.
