Clerical Coordinator
The Mother Baby Department Clerical Coordinator will provide daily support to the Mother Baby Department and Bellevue Nurse Managers. The Clerical Coordinator is responsible for clerical functions of the Quality Department. Duties include, but are not limited to, routine office functions such as filing, managing department correspondence via phone, in person, email or mailings, and supply management.In addition, the Clerical Coordinator accurately maintains the appointment calendar for department leaders. The incumbent schedules inter and intra department-facilitates meetings, coordinates and distributes materials for these meetings. The Clerical Coordinator is required to take minutes for departmental meetings as well as any others when needed. The individual also acts as a resource person for both internal and external inquiries. The incumbent works cooperatively with all areas of the hospital. EDUCATION AND EXPERIENCE REQUIREMENT(S):
High School Diploma or equivalency certificate required. Associate Degree preferred.
Two (2) - Three (3) years' previous experience working in an office setting required. Knowledge of relevant software application including MS Office and Excel.
Proficient in use of email and internet.
Must possess excellent organizational skill with the ability to handle multiple priorities. Knowledge of administrative procedures.
PRIMARY RESPONSIBILITIES OF THE POSITION:
Answering and directing phone calls.
Taking and distributing messages.
Organizing and scheduling appointments.
Organizing and coordinating meetings.
Receiving, sorting and distributing incoming mail.
Maintaining filing systems.
Photocopying, scanning and faxing.
Sending emails.
Preparing and sending outgoing mailings and packages.
Checking and entering data.
Monitoring and ordering inventory of office supplies.
Help to organize office activities.
Other duties as assigned
PHYSICAL REQUIREMENTS:
Should be able to push/pull, lift/move 15 lb., be able to perform moderately difficult manual manipulations such as using a keyboard, writing, and filing for extended periods of time, must be able to perform tasks which require hand-eye coordination such as data entry, typing and using photo copiers. Mobility requirements may include the ability to be stationary at a workstation for a prolonged period time in addition to being able to squat or be mobile for a reasonable length of time and distance. Communication requirements include the ability to comprehend the spoken English language in addition to being able to communicate and read the English language.

Exempt positions under the Fair Labor Standards Act (FLSA) will be paid within the base salary equivalent of the stated hourly rates. The pay range may also vary within the stated range based on location.
