Assistant Community Manager - HOA
Position Summary: The Assistant HOA Community Manager will work closely with the Community Manager to assist in the daily operations, administration, and management of multiple homeowners associations. This role is responsible for ensuring efficient community operations, homeowner satisfaction, and compliance with association policies and regulations.
Key Responsibilities:
Support the Community Manager in overseeing day-to-day operations of assigned communities.
Assist in preparing meeting agendas, minutes, and reports for HOA board meetings.
Serve as a point of contact for homeowners, addressing inquiries, concerns, and requests in a timely and professional manner.
Help manage maintenance requests, community improvements, and vendor relations.
Ensure accurate and up-to-date homeowner records, including maintaining databases and filing systems.
Assist in managing budgets, financials, and dues collections under the supervision of the Community Manager.
Coordinate with service providers, contractors, and vendors to ensure timely and quality service delivery.
Help enforce HOA policies, governing documents, and community guidelines.
Organize community events, activities, and communications to promote engagement.
Conduct property inspections and coordinate follow-ups on violations or needed repairs.
Provide administrative support, including correspondence, email management, and scheduling.
Qualifications:
High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
1-2 years of experience in property management, community management, or a related field.
Strong communication and interpersonal skills.
Proficient in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn HOA management software.
Ability to prioritize tasks and manage multiple responsibilities effectively.
Detail-oriented, organized, and able to meet deadlines.
Customer service experience with a focus on homeowner or client satisfaction.
Basic understanding of HOA rules, regulations, and community guidelines is a plus.
