ResponsibilitiesAs a Principal Administrative Specialist in the Executive Office, the selected candidate will perform a diverse range of daily administrative activities in direct support of the Chief Operating Officer to meet Mission Support and Test Services, LLC (MSTS) mission and operational goals. Key Responsibilities

Assist Chief Operating Officer with coordination and direction of daily management activities throughout organization, including, but not limited to, policies, directives, initiatives, visitors and procedures.

Plan, execute, and provide oversight to a variety of administrative, operational, and organizational requirements and activities.

Serve as the primary point-of-contact for administrative matters for the Organization.

Manage tracking of project milestones and deliverables for the Organization.

Track project review actions and provide periodic reports internally to team leaders, directors and senior directors.

Manage preparation, review and submission of reports and presentations.

Prepare travel, itineraries, agendas, and travel reimbursement reports.

Assist with time reporting and personnel allocation planning and coordination of personnel performance reviews.

Facilitate Daily Operations Call and track actions in weekly status report.

Collaborate with the Executive Office Administrative Staff and perform other duties as assigned.

Qualifications

Bachelor’s degree in related field or equivalent training and experience and at least 8 years of professional level experience, which included coordinating and implementing administrative policies, procedures, and programs.

Effective verbal and written communication skills.

Ability and willingness to work effectively in a multidisciplinary team environment.

Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, and Access) is required.

Ability to apply knowledge and experience to compose correspondence and technical reports, and accomplish goals where established procedures may not be specific, is preferred.

Capable of working within constraints of extensive policies, procedures, and various personnel and agency schedules.

Excellent interpersonal skills and ability to communicate with people inside and outside the organization, representing the organization to customers and suppliers, outside agencies and other external sources in a tactful, professional, and effective manner while screening and maintaining confidentiality.

Ability to work without direct supervision and utilize judgement to execute work assignments and resolve problems while meeting established deadlines.

Must be highly organized and able to develop specific goals and plans to prioritize, organize, and accomplish work efficiently.

Ability to deal with pressure of handling multiple tasks, frequent interruptions, and time constraints.

Knowledge of business and management principles involved in planning, resource allocation, human resources, and coordination of people and resources.

Extensive experience in project proposal preparation in government contracting is preferred.

Experience with project budget tracking for project execution is desired.

The primary work location will be at the Losee Road facility in North Las Vegas, Nevada.

Work schedule for this position will be 4/10’s, Monday – Thursday (subject to change).

Pre-placement physical examination, which includes a drug screen, is required. MSTS maintains a substance abuse policy that includes random drug testing.

Must have a valid driver’s license.

MSTS is required by DOE directive to conduct a pre-employment drug test and background review that includes checks of personal references, credit, law enforcement records, and employment/education verifications. Applicants offered employment with MSTS are also subject to a federal background investigation to meet the requirements for access to classified information or matter if the duties of the position require a DOE security clearance. Substance abuse or illegal drug use, falsification of information, criminal activity, serious misconduct or other indicators of untrustworthiness can cause a clearance to be denied or terminated by DOE, resulting in the inability to perform the duties assigned and subsequent termination of employment. In addition, Applicants for employment must be able to obtain and maintain a DOE Q-level security clearance, which requires U.S. citizenship, at least 18 years of age. Department of Energy Q Clearance (position will be cleared to this level). Reviews and tests for the absence of any illegal drug as defined in10 CFR Part 707.4 (http://www.ecfr.gov/cgi-bin/text-idx?SID=14b1c770db022992d237769fbe9fc519&mc=true&node=se10.4.70714&rgn=div8) , “Workplace Substance Abuse Programs at DOE Sites,” will be conducted. Applicant selected will be subject to a Federal background investigation, required to participate in subsequent reinvestigations, and must meet the eligibility requirements for access to classified matter. Successful completion of a counterintelligence evaluation, which may include a counterintelligence-scope polygraph examination, may also be required. Annual salary range for this position is: $97,448.00 - $148,616.00.Starting salary is determined based on the position market value, the individual candidate education and experience and internal equity.
