Maintain confidentiality and professionalism.ESSENTIAL RESPONSIBILITIES:
Answers the central telephone line, screens, and directs phone calls to staff; takes messages and schedules appointments.
Greets clients, visitors, and guests; determines the purpose of each person's visit and directs or escorts him or her to the appropriate location.
Receives mail, documents, packages, and courier deliveries and delivers or distributes items.
Provide high-level administrative support and assistance to the President and COO.
Manages outlook calendar for the President and COO and creates agendas for executive meetings.
Arranges travel and food/beverage accommodations for corporate training classes.
Performs administrative and clerical support tasks.
Monitors office supplies and submits supply orders.
Performs other duties as assigned.
Assists accounting with vendor setup and check log approvals
QUALIFICATIONS:Education and CertificationsRequired: High school diploma requiredPreferred: Bachelor’s degree in Business Administration or related fieldExperienceRequired: 2+ years successful professional administration with various responsibilitiesPreferred: 4+ years administrative or customer service experienceFunctional / Technical Competency RequirementsRequired: Excellent verbal and written communication skills. Excellent organizational skills and attention to detail. Excellent time management skills with a proven ability to meet deadlines. Ability to function well in a high-paced and, at times, stressful environment. Extensive knowledge of office administration, clerical procedures, and recordkeeping systems. Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.Preferred: Advanced Microsoft Office and Excel skills.ESSENTIAL FUNCTIONS:While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel objects, tools, or controls; and reach with hands and arms. The employee is occasionally required to stand, walk, climb or balance and talk or hear.
