International Mobility and Immigration Specialist

The International Mobility and Immigration Specialist is a trusted mobility specialist providing technical advice and guidance across all geographies within the Americas region for a variety of stakeholders including Arup business leaders, Arup members who are undertaking an international assignment, People, finance and external providers engaged to facilitate International Mobility. They deliver a range of practical, cost-effective IM solutions for the region to ensure value added support, together with ensuring international compliance for tax and immigration. They consider, consult and implement necessary changes to the IM processes that achieve consistencies and subsequent efficiencies and form part of a joined up and integral part of the centralized Global Mobility team and the Regional People community advising our leaders and working with our People community to deliver real value add and support Arup members who are undertaking an International Mobility opportunity.Position reports to the Regional Head of Mobility.The opportunity
Provide proactive day-to-day support for Regional mobility practices in-line with established policies and programs.
Handle the immigration process and associated assignment regulations/task for all international moves into the Americas Region working in close liaison with the HRBPS and the firm’s Immigration Attorneys.
Maintain Assignment Pro (IMIS) system for the administration of international assignments into the Americas Region.
Coordinate and produce assignment letters/contracts and other documentation; briefs assignees and answers routine assignment related questions.
Assist in reviewing monthly assignment and visa expiration reports and liaising with Regional HRBPs to confirm the way forward for upcoming expirations and taking action on agreed outcomes.
Assist with assignee questions and support a successful mobility experience for all regional assignees.
Liaise with Finance and Payroll as necessary to provide assignment compensation information and preview Shadow Payroll.
Participate in the review of process and vendor relationships and work with the Regional Head of Mobility to implement changes.
Help with preparation of data and information for regular mobility reporting and immigration audits as needed.
Update and maintain mobility information on Regional intranet site
Participate in Global and Regional Mobility projects and initiatives.
Assist in audit and reconciliation of mobility data.
The skills
Bachelor’s degree in HR or related field.
4+ years Human Resources/Mobility experience in a professional services environment preferred. Working knowledge of US and Canada immigration requirements and processes. Experience in international mobility is an asset.
Ability to multitask while maintaining high degree of confidentiality, attention to detail and accuracy.
Outstanding prioritization and organization skills, with ability to work independently, and use good judgment to deliver high-quality results.
Ability to work in a fast-paced, deadline driven environment while maintaining a professional demeanor
Strong client/customer service orientation/problem solving skills/creativity
Computer proficiency and technical aptitude with strong skills in MS Word, Excel, PowerPoint, Outlook.
HRIS experience in Oracle, DayForce and Assignment Pro platform preferred.

Benefits are not included in the base salary.
